Position Summary
We are seeking a detail-oriented and motivated HR Administrative Assistant to join our Human Resources team at our corporate office in Muncie, IN. This role will support the efficient operation of the HR Department by performing a variety of clerical and administrative tasks, while also being highly involved in the company’s hiring processes and activities. The HR Administrative Assistant will work closely with the Recruiting and Onboarding teams to help ensure smooth and effective recruitment and onboarding experiences. Responsibilities include data management, filing, maintaining confidential employee information, and supporting various HR processes to keep operations running efficiently. To succeed in this role, candidates must demonstrate strong communication and interpersonal skills, an upbeat and professional attitude, and the ability to manage multiple tasks at once. Attention to detail, organizational skills, and time management are essential.
Duties, Responsibilities, and Accountabilities
Essential Functions:
- Employee File Management: Create and maintain physical or digital files for each employee to securely store relevant documents.
- Data Entry & Accuracy: Enter, update, and maintain data in spreadsheets, databases, and internal systems; perform routine audits and clean-up tasks for the finance dept.
- Processes recruiting requests
- Contacts potential candidates
- Communicates with Hiring Managers throughout the recruitment process
- Reviews applicant qualifications and resumes
- Assists in scheduling interviews
- Assists with social media promotion and communications
- Understand Townsend employee benefits across all brands/divisions
- Assists with the onboarding process, including preparing documents and coordinating orientation requirements
- Duties and responsibilities may change with or without notice
- Collaboration & Confidentiality: Work with team members to confirm accuracy and consistency of data while handling confidential information with discretion
Qualifications (Knowledge, Skills, and Abilities)
- Education
o High School Diploma or equivalent
- Experience
o Minimum 2 years’ experience in data entry, HR, or administrative tasks
- Skills
o Familiarity with office procedures, file management systems, and standard office equipment.
o Strong organizational and time management skills with the ability to meet deadlines.
o Excellent communication and people skills
o Ability to work independently, manage time effectively, and meet critical deadlines (e.g., tasks due by Tuesday).
o Meet all physical requirements of the position.
o Pass all drug and alcohol screens as required by Company policy and, if applicable, required by DOT regulations.
o 18 years of age or older, or 21 if CDL is required.
o Legally authorized to work in the United States.
Preferred
- Bilingual English/Spanish speaking and reading
- Experience as a recruitment assistant or a related role is a plus but not required
- Familiarity with hiring practices and stages (screening, interview, assessment, onboarding) preferred but not required
