Program Manager - Meetings & Incentive Travel
Mid-level meeting planner to manage meetings and incentive travel programs. Ideal candidate will have a
minimum of 5-7 years of experience in: meeting planning, onsite event execution, vendor supervision,
budget management and a strong knowledge of global incentive travel markets. The individual in this
position will be challenged to drive a high level of service excellence and an attitude of ownership for
program success and client satisfaction.
The Company
Brightspot Incentives & Events, an Irving-based incentives & events agency, serves Fortune 2000 clients to
drive performance improvement and channel engagement through incentive travel, meeting planning,
sales incentive programs, and engagement campaigns.
Main Responsibilities
• Manage full-service meetings, events, and group incentive travel, both domestically &
internationally
• Customer relationship management
• Strong knowledge of program/event management and budget maintenance
• Travel to meeting locations to coordinate logistics & manage on-site events
• Collaborate with graphic designers to create themed art for websites, print & electronic collateral
and promotional items
• Collaborate with IT/web developers to customize registration websites & electronic
communication
• Collaborate with Air Travel Team to coordinate all attendees’ travel needs
• Collaborate with Print Partners to produce and distribute print pieces
• Recommend creative solutions and develop best practices
• Manage email and telephone support to program stakeholders and participants
• Manage assigned Program Specialist(s) on team including yearly performance review
Reports to
• Director of Events
Minimum Qualifications
• Four-year degree in hospitality, marketing, communications, or related field; CMP designation a
plus
• 5-7 years of relevant meeting planning experience, including planning incentive events combined
with strong knowledge of incentive travel markets
• On-site event coordination & vendor management experience, including third party vendors
• Experience working with hotels, DMCs, transportation companies and talent agencies
• Creativity in program design and communications
• Manage internal & external budgets and expenses
• Excellent written and verbal communication skills
• Experience using Basecamp Project Management Tool or similar
• Intermediate to advanced level of experience with Excel
• Travel required; approximately 25%
