Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Greet visitors at the front desk with professionalism and warmth, ensuring a positive first impression.
  • Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette.
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks.
  • Organize and file documents systematically to ensure easy retrieval and compliance with company policies.
  • Support calendar management by scheduling appointments, meetings, and events with precision.
  • Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping.
  • Provide exceptional customer support by responding promptly to inquiries via phone, text or email, ensuring client satisfaction.
  • Handle clerical duties including proofreading documents, managing correspondence, and supporting office management activities.
  • Maintain office supplies inventory and coordinate procurement to ensure smooth daily operations.
  • Support personal assistant tasks as needed, including travel arrangements or special project coordination.

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Experience with QuickBooks or similar accounting software is highly desirable.
  • Strong organizational skills with the ability to prioritize tasks effectively in a busy environment.
  • Excellent communication skills, both verbal and written; bilingual abilities are a plus.
  • Demonstrated experience in office management or administrative roles with a focus on clerical support.
  • Knowledge of multi-line phone systems and proper phone etiquette for professional interactions.
  • High level of computer literacy including data entry, proofreading, filing, and general office software use.
  • Ability to manage time efficiently while handling multiple responsibilities simultaneously.
  • Previous experience as a receptionist is beneficial but not required; personal assistant experience is valued as well.
