The Step by Step School is an administrative assistant. This is a full-time, year-round position for our daycare program, our afterschool program, and our summer camp program. The right person will: be friendly and smiling, calm under pressure, able to multi-task at a front desk with phones, computer, intercoms, managing security doors. The Administrative Assistant plays a vital role in ensuring the smooth and efficient operation of the daycare. This position works closely with the Director to manage administrative tasks, maintain compliance with state regulations, organize student and staff files, and support the daily functions of the center. The ideal candidate is organized, detail-oriented, and passionate about creating a safe, compliant, and welcoming environment for children, families, and staff. Flexibility is important and the willingness to work as a part of a team.
Qualifications/Responsibilities:
- Smiling, warm, friendly demeanor; able to greet parents and visitors and answer their questions
- Must qualify for Level 2 Background Screening as required by DCF for employment in a licensed childcare facility
- Excellent command of English language both spoken and written. Multi-lingual is a bonus: Spanish.
- Ability to work pleasantly and professionally with teachers and to show empathy and understanding for young children and their parents.
- Highly organized and discrete. Filing of confidential and general paperwork.
- Must be computer literate and able to type; knowledge of Microsoft Outlook, Word, and, Excel is preferable
- Able to keep and disseminate the school's master calendar
- Must be discreetly able to screen visitors, use good judgment or ask if questionable
- Maintain daily attendance records
- Use copier and learn to use and maintain it (keep filled w paper, staples, etc.)
- Inventory and ordering of office supplies
- Mailings (school emailings and regular mail) as needed
- Create and Maintain lists as needed such as: Early & After Care, Camp and School Groups, etc.
- Work closely with the Director to support daily administrative and operational tasks.
- Prepare, file, and maintain all required state and licensing forms, ensuring accuracy and timeliness.
- Create, update, and securely manage student files, including enrollment forms, health records, and attendance documentation.
- Maintain staff files in accordance with state and center policies, including training, certifications, and background checks.
- Handle incoming calls, emails, and parent inquiries in a friendly and professional manner.
- Assist with staff scheduling, attendance tracking, and substitute coordination.
