Job Summary:

Join our team as a Front Desk and Agency New Business Level 1 and play a critical role in both client service and operational excellence. This dual-role position supports the processing of life and disability insurance applications and ensures the front office runs smoothly. You’ll be an essential link between our advisors, underwriters, and clients while contributing to the daily flow of a high-performance financial services firm.
Key Responsibilities:
Front Desk & Office Coordination
- Greet clients, vendors, and guests professionally while adhering to security protocols.
- Manage morning and end-of-day routines, including break room setup and UPS shipment processing.
- Answer and transfer incoming calls using company software and phone systems.
- Log and document client communications using internal platforms.
- Manage the conference room booking system and request space in adjacent towers as needed.
- Monitor and route incoming securities-related correspondence and daily mail.
- Submit maintenance requests for the building when necessary.
- Order and maintain office supply inventory, including advisor business cards (as approved by compliance).
- Provide general administrative support to the General Agent and agency leadership.
- Assist with other duties as assigned.
New Business Support
- Serve as the primary liaison between underwriters and agents to facilitate policy approvals, issuances, and deliveries.
- Pre-check all life and disability insurance applications for accuracy and completeness.
- Track new business cases from submission through approval and delivery.
- Report initial premium payments and assist with bank draft setup.
- Coordinate with advisors and their teams regarding outstanding requirements and documentation.
- Process reissues, commission change forms, and prepare policies for delivery (eDelivery or physical).
- Maintain accurate and timely daily reporting on applications in process.
Results Expected:
- Timely follow-up and resolution of outstanding new business requirements.
- Smooth, professional, and consistent client and visitor experience at the front desk.
- Accurate daily reporting and communication with advisors and underwriters.
- Proactive management of office operations, supplies, and scheduling needs.
Qualifications & Skills:
- College degree required.
- Colorado Life and Health Insurance Licenses (or ability to obtain within 90 days of hire).
- Minimum of two years of administrative or operational experience.
- Highly process-oriented with strong attention to detail.
- Professional presence with strong interpersonal and customer service skills.
- Able to multitask and prioritize in a dynamic environment.
- Experience in financial services or the insurance industry (preferred).
- High level of discretion and commitment to confidentiality.
- Comfortable with technology, payment processing systems, and internal business systems.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, OneDrive) and Adobe
- 60 Minimum Words Per Minute keyboard
- Demonstrate proactive problem-solving abilities

Details:
- Location: Denver, CO (In-office, Monday–Friday, 8:00 AM–5:00 PM, adjusted on commission close dates)
- Compensation: $24.04 - $28.85 per hour, based on experience. W2 hourly role, non-exempt
