ABOUT THE ROLE
We are seeking an exceptional Executive Assistant for Marc, a highly active private real estate investor managing a 35 property portfolio across California and Florida with additional international holdings. This is not a traditional EA role — it requires a proactive, mature, and exceptionally organized professional who can manage a complex personal and professional schedule, anticipate needs before they are expressed, and represent the Principal gracefully across a wide range of interactions.
Prior real estate experience is not required. What is required is flawless execution, high emotional intelligence, and the trust that comes from absolute discretion. The right person takes pride in making someone else's life run seamlessly.
WHAT YOU'LL OWN
Calendar & Schedule Management
- Own the Principal's daily and weekly schedule — business meetings, personal appointments, medical visits, and social commitments
- Anticipate scheduling conflicts, prepare daily briefings, and coordinate logistics across US and European time zones
- Manage reminders for key deadlines in coordination with the COO
Travel & Logistics
- Book all domestic and international travel: flights, hotels, ground transportation, and detailed itineraries
- Manage logistics for international travel including coordination across France and the US
- Oversee boat-related logistics — scheduling, crew coordination, and vendor management
- Anticipate travel needs proactively, not reactively
Communications & Correspondence
- Manage the Principal's email inbox: triage, draft responses, and escalate urgent items appropriately
- Serve as the first point of contact for inbound calls and inquiries
- Draft professional correspondence on the Principal's behalf as needed
Administrative & Financial Support
- Collect and organize receipts for the Principal's Amex; prepare monthly expense summaries for the bookkeeper
- Maintain organized document filing in Google Drive
- Coordinate with the COO on time-sensitive administrative requests
Personal & Household Coordination
- Manage personal tasks as directed: medical appointments, personal vendors, household matters
- Assist with French-language communications as needed (preferred — a meaningful asset)
- Maintain the highest level of discretion with respect to personal, financial, and family matters
QUALIFICATIONS
Required:
- 5 years supporting a senior executive, founder, or high-net-worth individual
- Exceptional organizational and prioritization skills — comfortable managing dozens of simultaneous requests
- Polished written and verbal communication; able to represent the Principal professionally in all interactions
- Proficiency with Google Workspace, calendar management, and travel booking platforms
- High emotional intelligence and ability to work with a demanding, fast-moving principal
- Absolute discretion with confidential personal, financial, and family information
Preferred:
- French language proficiency (conversational or better) — highly valued
- Prior experience in real estate, finance, law, or a family office environment
- International travel logistics experience across US and Europe
- Experience managing personal and household matters alongside professional responsibilities
