Purpose of the Position
The primary purpose of the Data Processing Specialist (DPS) position is to assume responsibility for managing and processing data related to mailing operations. This role involves overseeing the preparation, accuracy, and distribution of mailing lists and materials. This positon will demonstrate strong data management skills, attention to detail, and experience with mailing software and systems.
Responsibilities
• Prepare client supplied marketing address/information files for mailings and variable data projects according to client requirements. Data cleansing/editing/maintaining/formatting for use in mailing/variable data projects.
• Using BCC Mail Manager Software to create presorted mailing list for print projects. Including prep list for import/CASS & cleanup/NCOA & cleanup/deduping/postal prep/export.
• Prepare data for output to a variety of devices in printed and electronic media.
• UPS/FedEx batch file preparation and import for fulfillment and production shipping.
• Regularly communicate with the production managers and customer support teams to ensure and document standard operating procedures that support data quality and production efficiency.
• Collaborate with other departments and functions to achieve creative and efficient solutions to client objectives.
• Maintain accurate and up-to-date documentation of project details.
• Data maintenance for customer files that are maintained by The Standard Group.
• Continuous Improvement: Contribute to continuous improvement processes and methodologies within company to reduce implementation effort and optimize the client experience
• Complies with all policies in the employee handbook and all relevant local, state, federal, and OSHA safety regulations including but not limited to lock out tag out, hazard communication, and personal protective equipment.
• Performs any other miscellaneous duties as assigned by the manager. These duties are nonessential and marginal functions of the position.
Relationships
Reports to, receives training and performance reviews directly from the Director of Innovation. Interacts with the executive team, mid-level managers, department managers, customers, sales staff, vendors, office staff, and production staff.
Knowledge and Skills Required
• Associate’s Degree or two to four years of related experience and/or training; or equivalent combination of education and experience.
• Demonstrated ability to handle multiple projects and details simultaneously. Requires self-direction, tact, diplomacy and a clear, courteous and professional manner when dealing with internal and external customers.
• Proficient in the use of database tools (e.g. MS Access) and/or other data-manipulation software (e.g. MS Excel). Excellent data entry skills.
• Strong working knowledge of Windows OS and MS Office.
• Aptitude for accurately manipulating large amounts of data, which in turn requires lengthy periods of concentration, a high level of attention to detail, and a passion for organization and accuracy.
• Demonstrated ability to communicate complex ideas or findings verbally, written or report formats.
• Some computer hardware/software troubleshooting skills.
• Demonstrated ability to calculate and compute numbers; analyze and solve problems on a daily basis
• Knowledge of BCC Mail Manager or other mailing software.
• Working knowledge of SQL and/or other programming languages.
Mental and Physical Requirements
The Data Processing Specialist must be able to perform the following job related functions: hear and speak effectively in order to communicate with customers and employees; read both handwritten and typed notes; reports and enter data into computer; bend, reach, and stretch for files that are needed to perform the job; work under conditions caused by deadlines and customer requirements; analyze and make decisions necessary to perform the job; sit for prolonged periods of time at a desk; and be able to lift 25 pounds (file boxes and computer paper).
