A private family office is seeking a highly organized and experienced Online QuickBooks Bookkeeper / Accounts Manager to oversee financial operations across multiple personal, business, and philanthropic entities. This role is best suited for a seasoned bookkeeping professional (not a CPA or attorney) with demonstrated experience supporting Private Family Offices or UHNW clients, and a strong understanding of oil and gas accounting practices, investment and royalty tracking, and multi-entity financial coordination.
The position is primarily remote, with quarterly on-site engagements of one to two weeks to work directly with the principals and their advisory team. The successful candidate will be comfortable guiding principals through QuickBooks functions as needed, enabling them to independently access financial reports and key financial data with confidence.
Key responsibilities include classifying transactions, managing budgets, overseeing recurring payments, reconciling monthly and quarterly statements, and preparing clear, comprehensive financial reports. The role also involves coordinating closely with external advisors and internal team members, assisting with tax documentation, monitoring investment and royalty portfolios, and supporting cash flow management and long-term financial forecasting.
A strong moral and ethical compass, sound judgment, and an unwavering commitment to accuracy, discretion, and confidentiality are essential. Prior experience supporting Private Family Offices or UHNW individuals, along with hands-on experience in oil and gas, royalties, and investment-related financial management, is required.

Responsibilities
- Manage all bookkeeping and financial recordkeeping across multiple personal, business, nonprofit, and investment-related entities
- Prepare accurate monthly, quarterly, and annual reports; ensure principals always have access to updated information
- Classify transactions, track budgets, and monitor spending to keep principals aligned with financial goals
- Provide proactive financial insight based on spending trends and flag it with principal's before month-end
- Maintain and reconcile QuickBooks online and desktop versions; train principals on how to run reports and pull their own numbers
- Track investment-related details including royalties, appreciation, disbursements, and long-term projections
- Support budget creation, forecasting, and reconciliation; identify how assets and expenditures fit into broader financial goals
- Collaborate with the existing professional team (estate planner, investment advisor, financial manager, tax attorney)
- Prepare tax documentation for outside accountants and coordinate information flow across teams
- Maintain digital financial systems and ensure records are consistently updated rather than handled intermittently
- Identify gaps, improve processes, and create organizational systems that maintain clarity and accuracy
- Maintain strict confidentiality, discretion, and integrity in all financial matters
Qualifications
- 5–7 years of bookkeeping or financial management experience working with a UHNW Family Office
- Proficiency in QuickBooks online and QuickBooks Desktop; ability to teach/report as needed
- Strong understanding of general accounting, financial reporting, and budget management
- Experience with oil and gas accounts, royalties, and investment tracking
- Excellent communication skills with the ability to liaise professionally with multiple advisors
- Highly organized, proactive, and detail-oriented; keeps work consistent and timely
- Good judgment and understanding of role boundaries, comfortable collaborating without assuming CPA or legal responsibilities
- Ability to work remotely with discipline, reliability, and strong follow-through
Location: Remote position with quarterly travel for in-person financial review periods to Boulder, CO.
Schedule: Flexible remote schedule. Approximately 10 hours per week on average (40 hours/month), depending on reporting cycles and workload. Monthly and quarterly check-ins with principals and advisors required.
