Overview
The Records Management Specialist will perform mid-level federal records management, Freedom of Information Act (FOIA), and Privacy Act (PA) support for a Federal Agency Client. This position requires a minimum of three continuous years of mid-level experience in federal records management and operates under established standards. The specialist will manage FOIA and PA correspondence workflows, maintain Salesforce CRM, administer SharePoint content and permissions, and support information management policy development on Microsoft 365 and Salesforce platforms.
Key Responsibilities
• Perform records management activities in accordance with federal government privacy and legal requirements.
• Assist in the development of analyses and reports associated with Freedom of Information Act (FOIA) and Privacy Act (PA) processes.
• Manage the flow of FOIA and PA correspondence and requests; establish processes to provide prompt responses to requestors in accordance with FOIA policies, procedures, and guidelines.
• Perform technical tasks involved in maintaining the Salesforce Customer Relationship Management (CRM) system.
• Participate in the development of information management policies and governance of supporting applications on Microsoft 365 and Salesforce platforms.
• Manage SharePoint sites content and permissions.
• Create and execute PowerShell scripts to produce reports and perform records management tasks.
• Compile data for reports, transcribe reports, and maintain indexes.
• Ensure that all work products are proofread and free of errors, omissions, and inconsistencies.
Required Qualifications
• Minimum three (3) continuous years of mid-level experience performing federal records management in a government environment.
• Demonstrated hands-on experience managing FOIA and Privacy Act correspondence, requests, and response workflows.
• Demonstrated hands-on experience with Salesforce CRM — administration and technical task performance.
• Demonstrated hands-on experience managing SharePoint Online sites content and permissions.
• Demonstrated hands-on experience creating and executing PowerShell scripts for records management or reporting tasks.
• Demonstrated experience with Microsoft 365 platform for information management and governance activities.
• Experience supporting information management policy development in a federal agency environment.
• Strong attention to detail; all work products must be proofread and free of errors per client requirements.
• Ability to manage multiple concurrent FOIA/PA requests and meet response deadlines in accordance with federal guidelines.
Education and Certifications
• Bachelor's degree in Information Management, Library Science, Public Administration, or equivalent field; relevant IT certifications may substitute for a formal college degree per contract requirements.
• Certified Records Manager (CRM) or equivalent records management certification — preferred.
• Microsoft 365 or SharePoint certification — preferred.
• FOIA training or certification from the Department of Justice or equivalent federal agency — preferred.
• 100% hands-on experience in performing required records management tasks is mandatory and may not be substituted with certifications alone.
Work Authorization
• Must be authorized to work in the United States.
• Must be eligible to obtain and maintain a Public Trust clearance prior to onboarding.
• Must be willing to execute a Non-Disclosure Agreement (NDA) and acknowledge agency Rules of Behavior.
• Must obtain a PIV Card issued by the Government prior to system access.
• Personal or non-agency equipment may not be used to access the agency environment.
