Summary:
The E&D Administrator supports the VP of Engineering & Design and works closely with the Directors of these departments to ensure efficient workflow, timely communication, and effective coordination of operational activities.
Responsibilities:
- Assist in the development and implementation of operational policies and procedures.
- Maintain and update operational databases, systems, and records.
- Assist in budget tracking, expense reporting, and invoice processing for VP of Engineering & Design and Director levels.
- Coordinate logistics for meetings, events, and travel arrangements.
- Identify opportunities for process improvement and implement solutions.
- Maintain a high level of confidentiality and professionalism in handling sensitive information.
- Assisting EA with front desk, companywide events, and other office functions.
- All other administrative related duties and responsibilities.
- Maintain current resumes for employees to be utilized for client proposals
- Review invoices and provide Accounting Department with approval and coding
Education and Experience:
- 3-5 years’ experience working in an administrative/customer service function in a finance/accounting, engineering, or industrial services environment
- High School (High school diploma), associate degree (University certificate below bachelor level) or related Certificate preferred.
- Data Management Systems (Advanced).
- Microsoft Office Suite (Advanced) (Including Visio and SharePoint).
- InEight (Intermediate).
Physical Requirements:
- Ability to reach, stand, walk, grasp, feel, talk, hear, see and to perform repetitive motions.
- Sedentary work: Exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
