OVERVIEW:
The Seed Scout is a known sperm donor matchmaking company that helps intended families build their families through a thoughtful, human-centered process. We take this work seriously because the people on the other end of every email, every file, and every introduction are in one of the most meaningful moments of their lives. We are a small, fully remote team that moves quickly, holds a high bar, and genuinely cares about the work we do together.
We are hiring a Donor and Client Relations Coordinator to be the operational core of our matching process. This role keeps everything moving behind the scenes: onboarding clients and donors, preparing legal documents, managing data, and making sure nothing slips through the cracks. You will be deeply embedded in the coordination team and trusted to own your work with minimal hand-holding.
This role starts part-time and transitions to full-time after a 90-day trial period. It is designed for someone who wants to grow with us, not just fill a seat.
WHAT YOU WILL DO:
- Build and maintain onboarding records for new clients and donors, including contact, clinic, and medical details
- Enter and maintain data across Airtable, Google Sheets, and the Client Preference Tracker
- Prepare and distribute match sheets to client and donor attorneys after every confirmed match
- Run background checks on prospective clients and flag any findings before introductions happen
- Own client offboarding from start to finish, including checklist sign-off and all outbound communications
- Catch errors before they reach clients, donors, or legal partners and flag them immediately
- Support donor onboarding including contract prep and file organization
- Track donor status and pipeline changes and route issues to the right person quickly
- Assist with monthly catalog prep, donor material organization, and quality checks
- Join calls with donors and clients when needed, always showing up with warmth and professionalism
- Pitch in across the team wherever things need support, not just within your defined lane
- Document what you learn and help us build better processes as we grow
- Occasionally attend in-person events and conferences, a few times per year

QUALIFICATIONS:
Required
- Exceptional attention to detail. This is the single most important quality we are hiring for.
- 1 to 3 years of experience in coordination, operations, administration, or a customer-facing role
- Highly organized and self-directed with a track record of managing multiple tasks reliably
- Strong written communication, professional and warm in equal measure
- Comfortable working independently in a fully remote environment
- Quick to learn new tools and able to work across multiple platforms at once
Nice to Have
- Experience in a startup or small team environment where you had to figure things out as you went
- Familiarity with Airtable, Slack, Canva, or Google Drive
- Background in customer service, community management, or a client-facing coordination role
- Any experience in medical or reproductive health adjacent work
COMPENSATION AND BENEFITS
This role starts part-time and converts to full-time after a successful 90-day trial period. The compensation range below reflects the full-time annual salary. During the part-time period, hours are paid proportionally at the equivalent rate.
- Base salary: $60,000 to $75,000 annually, based on experience
