The Seabrook on Hilton Head Island is seeking a dedicated and highly organized Executive Assistant to the Executive Director to join our award-winning senior retirement community. This role is ideal for an individual with a strong background in executive support, particularly within a senior living or retirement community setting. Key Responsibilities:
- Control workfloW
- Calendar management
- Provide high-level administrative support to the Executive Director, ensuring smooth day-to-day operations
- Expense reporting
- Travel arrangements
- Handle all logistics CEO related interact with leadership, Internally and externally
- Board preparation and communication
- Handle calls, inquiries, and correspondence, maintaining effective communication on behalf of the Executive Director
- Prepare, edit, and organize documents, reports, and presentations
- Conduct research and compile information for special projects and initiatives as needed
- Ensure a professional and welcoming environment, interacting with clients, internal teams, and affiliated companies
Qualifications:
- Bacehlor's Degree - prefered
- Experience in finance, healtcare or consulting
- Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Claude AI & workflows knowldege a plus
- Communication skills, written/ verbal skills
- Ability to prioritize and meet deadlines
- Maintain confidentiality
- Proven experience as an executive assistant or in a similar role, with experience in retirement communities or senior living preferred
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Proficient in using phone systems, office equipment, and QuickBooks (preferred)
- High attention to detail with strong data entry and record-keeping abilities
- Exceptional written and verbal communication skills
- Professional, friendly demeanor with an ability to engage effectively with diverse stakeholdersThis is a dynamic role, with responsibilities that will evolve based on the needs of our organization. The ideal candidate will be personable and proactive, comfortable interacting with residents, team members, and external partners.
