Duties And Responsibilities
Administrative
- Develop reporting and workflow processes for a safe, efficient workplace
- Prepare and use documents required for record keeping and partner accountability
- Maintain workflow by documenting actions, communicating updates, and identifying needs
- Lead administrative projects by improving systems, adopting technology, and reallocating resources
- Report and process general and property liability claims
- Track and support risk management claims for all county units and programs
- Communicate with Divisional Headquarters on risk-related needs
- Process Certificate of Insurance requests
- Ensure first aid kits and safety supplies are stocked
- Ensure staff are trained and prepared for emergencies
- Oversee fleet drivers
- Manage hiring for new drivers
- Oversee Driver Safety Training
- Ensure driver documentation meets DOT standards
- Report and process vehicle liability claims
- Manage fleet maintenance, safety, and records
- Maintain the Emergency Canteen and keep supplies ready for deployment
- Oversee Salvation Army facilities across the Silicon Valley Coordination
- Maintain facility cleanliness and upkeep
- Identify and address hazards
- Ensure buildings and grounds remain in good condition
- Manage property and project contracts and contractors
- Ensure facility safety and regulatory compliance
- Use Upkeep software to track repairs, maintenance, and inspections
- Supervise maintenance and transportation staff, including annual evaluations
- Other related duties as required
- Experience in supervising and property management (3 years required)
- Valid driver’s license (required)
- Bachelors degree in office administration or related field (preferred)
- Experience in scheduling and recording keeping
- Experience managing and supervising projects
- Project management skills
- Ability to work effectively in a team or independently
- Strong organizational skills to manage multiple projects
- Proficiency in computer and Microsoft programs
- Modern Office Equipment and Relevant Software
- Ability to lift, push, pull, twist, turn up to 25 lbs.
- Ability to walk facilities, climb stairs, and remain on feet for most of the workday
