Salary: $23.09 to $28.87 per hourPOSITION SUMMARYThe Rural Collaborative is a nonprofit organization representing 30 rural hospitals across the region. We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant (AA) to support our daily operations and ensure the smooth functioning of internal processes.This role supports various administrative, communication, and member engagement functions, working closely with multiple members of the Senior Leadership Team. By joining our team, you'll play a vital role in helping rural hospitals collaborate and thrive.Learn more about us at www.ruralcollaborative.comESSENTIAL DUTIES AND RESPONSIBILITIESOrganizational SupportActively foster and reflect the Collaboratives values and culture in all interactions.Represent the organization professionally in communications with members, vendors, and partners.Maintain the organization-wide administrative calendar and assist in coordinating organizational timelines and deadlines.Assist in distribution of organization-wide communications and reports.Meetings and Member EngagementProvide logistical support for virtual and in person meetings (e.g., scheduling, agendas, meeting packets, technology set-up, meeting minutes and follow-ups).Maintain accurate rosters and attendance records for committees, workgroups, and member meetings.Track committee-related data (e.g., charters, chair terms, chair rotations).Support appreciation efforts for members and staff (e.g., swag, celebrations, gifts, etc.).Distribute member surveys and compile responses as needed.Identify and report on common themes across various committee meetings.Additional ResponsibilitiesAttend internal team meetings, conferences, and trainings as needed.Support special projects or additional tasks as assigned by the Communications and Marketing Manager or Executive Director.QUALIFICATIONS AND EXPERIENCEThe ideal candidate will have excellent communication skills and be proficient in using various administrative software and tools. A willingness to learn and adapt to new tools and processes is essential.Education and ExperienceMinimum of 2 years of administrative or office support experienceExperience in nonprofit, healthcare, or mission-driven settings is preferred.Knowledge, Skills & AbilitiesExceptional organizational skills with a strong ability to manage multiple tasks, prioritize work, and meet deadlines.Strong written and verbal communication skills, including professional email and document preparation.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Zoom, Adobe Acrobat, and other office software.Experience with or ability to quickly learn Collaborative platforms such as Box, Monday.com, and similar tools.High level of discretion and ability to manage confidential or sensitive information.Self-starter who works well independently and in a team environment.Flexibility to adjust work schedule for occasional events or meetings, as needed.Licensing & Special RequirementsMust have reliable transportation and the ability to attend in-person meetings at a variety of locations throughout the state. If driving a personal vehicle, the employee must have a valid driver's license and automobile coverage greater than 100/300/100.WORKING CONDITIONS & PHYSICAL REQUIREMENTSMost work is performed in a remote home-office setting. Some travel (less than 10%) to attend meetings, and occasional overnight stay may be required. May require occasional evening hours. May require standing or sitting for long periods of time. Position requires hand manipulative skills for word processing and writing. Must be able to hear verbal conversations over the phone and in-person with background noise.
