What are the responsibilities and job description for the Director of Operations position at The Run RX?
About The Run Rx
The Run Rx is a physical therapy and performance studio helping runners and active individuals recover from injury, build strength, and perform at a higher level.
We are known for exceptional care, meaningful client relationships, and a human-centered approach that blends healthcare, fitness, performance, and hospitality to redefine the healthcare experience.
The Role
We’re looking for a Director of Operations to own the systems, people, and day-to-day execution that keep The Run Rx running at a high level.
This person will be the Owner’s primary operational partner—turning ideas into action, improving systems, supporting team performance, solving problems before they become bigger problems, and helping the business grow without sacrificing the quality or personal experience our staff and clients expect. We’re looking for someone who can independently think, decide, implement, and lead.
This will be a hybrid role combining in-person and remote work. We expect more in-person involvement initially while learning the business, team, and systems, with the role likely becoming primarily remote over time while maintaining regular clinic presence as needed.
Our ideal structure is approximately 25–30 hours per week, but we are open to a full-time position for the right person and fit.
What You’ll Own
- Business systems, SOPs, workflows and operational improvements
- HubSpot/CRM management, automations, reporting and technology implementation
- Staffing capacity, schedules, hiring and onboarding assist
- Performance management and team accountability alongside clinical leadership
- Payroll, bill pay and operational oversight
- High-level customer service and client communication
- Inquiry follow-up, onboarding and client retention systems
- Referral partnerships, community outreach and events
- Clinic KPIs, performance trends and implementation of improvements
- Day-to-day operational decisions that allow the Owner to stay focused on higher-level strategy
The Ideal Candidate
You may be a great fit if you:
- Take initiative naturally and rarely need to be told what to do next
- Problem-solve before escalating and bring solutions, not just questions
- Are highly organized, dependable and accountable to results
- Are deeply likable, emotionally intelligent and exceptionally customer-service oriented
- Believe great service should feel radically human, hospitable and clear
- Can make business decisions and translate them into systems and behaviors that support growth, client experience and clinical excellence
- Are comfortable holding people accountable and having direct, respectful conversations
- Understand how staffing, utilization, customer experience and financial performance connect
- Are highly tech-savvy and comfortable learning and improving systems
- Are comfortable with tools such as scheduling platforms, EMRs, Zapier, Google Workspace, payment systems and website platforms
- Can move between strategic thinking and hands-on execution without getting stuck in either
Ideal experience
- 3-4 years in an operations, business management or general manager role, including at least 1 years directly managing people — not just coordinating a team or leading projects.
- Have meaningful experience with HubSpot or another robust CRM
- Has personally handled a disciplinary conversation, performance improvement plan, or termination.
- Has owned or had visibility into a P&L or operating budget
- Has implemented or overhauled a system or process end-to-end — not just used one someone else built.
- Experience in a small or single-location high touch business, ideally service-based (healthcare, fitness, hospitality, salon, boutique retail)
Compensation Benefits
- Competitive compensation based on experience, scope and weekly hours
- Performance-based bonus opportunity tied to business growth and operational performance
- 401(k) with up to 3% employer match
- Paid time off for eligible employees
- Flexible hybrid work structure, with the role expected to become increasingly remote over time
- Professional development and growth opportunities
- Opportunity to take on increasing ownership and responsibility as the business grows
