What are the responsibilities and job description for the Licensing & Administration Specialist position at The Royalty Network, Inc.?
Duties will include:
Licensing
- Process and track licensing requests for synchronization, mechanical, print, and other uses
- Prepare, issue, and support negotiation and approvals of quotes and licenses
- Generate and manage invoicing and payment follow-up for licensed uses
- Coordinate with internal teams and external partners on licensing inquiries
- Maintain licensing database
Administration Inquiry Management
- Monitor and triage incoming HubSpot inquiries daily
- Assess, prioritize, and route requests to appropriate team members
- Handle routine inquiries and escalate complex issues as needed
- Ensure timely responses and resolution tracking
- Maintain organized ticketing system and documentation
- Triage counterclaims and disputes at scale
Copyright & Catalog Operations
- Large-scale monitoring of catalog registration status at collective licensing societies (MLC, ASCAP, BMI, etc.)
- Audit catalog registrations for accuracy and completeness
- Research and identify works not in our database using services like Muso and other crediting databases
- Assist in the processing of copyright registrations
- Ensure data integrity and consistency across internal systems and third-party platforms
General Publishing Administration
- Respond to client and songwriter inquiries regarding licensing and administration
- Assist with royalty statement processing and analysis
- Help reconcile income and resolve discrepancies
Requirements:
This is a hybrid position. Candidates should be prepared to be in our Manhattan office three days per week, though candidates unable to fulfill this requirement may still apply.
The ideal candidate should be outgoing, creative, self-starting, passionate about music, driven, organized, respectful, personable, and should bring to the position knowledge and enthusiasm for the mechanics of music publishing and rights administration.
The ideal candidate should have several years’ experience working in a copyright, royalties, and/or administration department at a record label, music publisher, or similar institution, though candidates with other experience may still apply.
Skills/Knowledge: Microsoft Word and Excel expertise essential. Experience with (1) large-scale data tools such as PowerBI; (2) HubSpot and/or other CRMs; and (3) rights & royalties platforms such as Music Maestro or Curve is a plus. Spanish language knowledge, and familiarity with non-English-language genres and traditions (particularly Latin and South Asian repertoire) a plus.
