Responsibilities
- Act as the primary point of contact for permit applications, renewals, and follow-ups with city agencies and vendors
- Manage daily office operations, including scheduling appointments, maintaining calendars, and overseeing administrative tasks
- Supervise clerical staff and coordinate training & development initiatives to enhance team performance
- Handle vendor management by coordinating deliveries, service appointments, and maintaining supplier relationships
- Oversee bookkeeping activities using QuickBooks to track expenses, invoices, and payments accurately
- Manage payroll processing, human resources documentation, and ensure compliance with company policies
- Maintain organized filing systems for permits, project documents, and office records while ensuring confidentiality
- Support event planning efforts for company meetings or community outreach activities
- Oversee front desk duties including multi-line phone systems, greeting visitors, and managing phone etiquette
- Assist with budgeting processes by monitoring expenses and preparing reports for management review
Skills
- Proven experience in office management or administrative roles within a fast-paced environment
- Strong organizational skills with the ability to multitask efficiently across various responsibilities
- Excellent communication skills for liaising with vendors, team members, and external agencies
