Job Description: Office Manager

Reports To: Lead Pastor, Elders
Type: Hourly, Part-Time (may work to Full-Time, if desired)
Salary: $15.00 per hour
General Function
The Office Manager has oversight of all office procedures including secretarial, registration, and accounting functions (as needed), and is in the key position of meeting the public on a daily basis on phone and in person. It is critical that the secretary demonstrate a caring, friendly, and patient attitude.
Qualifications (General)
To begin the process, the successful candidate for the Office Manager position must accomplish and/or agree to the following:
- Must be at least 18 years old.
- Be a Christian.
- Agree with the Statement of Faith of The Rock Church of Tomahawk.
- Have a life that role-models Christ.
- Have a love for children, adults, and families and a desire to see them grow physically, emotionally, socially, and spiritually.
- Is eager to learn, is flexible, and able to work with people of all backgrounds.
- File all necessary completed paperwork, including an application, reference forms, etc.
- Successfully submit all paperwork and pass an interview, all Reference Checks and a Background Check.
- Agree to random drug-testing, if called upon.
Qualifications (Specific)
The successful candidate for the Office Manager position will meet (or exceed) the following criteria to be considered for employment:
- A self-starter who is capable of working independently or collaboratively.
- A sincere love for the Lord and exhibits high Christian standards in their personal life.
- Preference of at least two years of experience working in an office environment.
- Has abilities and experience in: word processing, accounts receivables; filing systems; writing, editing, and proofreading of letters, proposals, contracts and documents; etc.
- Willing to work in whatever capacity necessary. This may include working with Housekeeping and Maintenance, if required.
Responsibilities
The following is a sample list of the responsibilities of the position. All staff should be mindful of the needs of the organization and have the willingness to adapt to new situations, as needed, for the overall health of the programs:
Welcoming
- Greet people in person and endeavor to determine how The Rock Church may assist.
- Answer phones and pass phone calls off to the correct Staff/Volunteers.
- Meet groups during regular hours and make sure they have what they need for their program.
Daily
- Meet with the Lead Pastor to determine the needs for the day/week.
- Check and respond to emails and voice messages.
- Get the incoming mail and make sure that outgoing mail is sent.
- Process any bills and/or payments received for the Elder in charge.
- Receipt all monies as they are received.
- Send “Thank You” letters to supporters and volunteers, as needed.
- Communicate with Elders, Staff, and Members by phone, email, or in person, as needed.
- Type correspondence and all requested written materials including, but not limited to, letters, group rental contracts, Board minutes, reports, etc.
Event Management
- Enter data on event registrations, upcoming events, etc.
- Notify the Lead Pastor and Elders about planning concerns.
- Make sure that notifications and promotion for events are sent in a timely fashion.
- Make sure that event leaders have access to the building. (Key check-out.)
- Make sure that keys are accounted for after the event.
- Coordinate with Maintenance and Housekeeping, as needed.
Miscellaneous
- Oversee the weekly sorting of the name tags from Sunday Service.
- Maintain open and frequent communication with the Lead Pastor and the Board of Elders.
- Comply with church policies and rules, especially those outlined in the Personnel Manual.
- Enter and update Connection Cards.
- Keep inventory and order office supplies as needed.
- If needed, ensure that The Rock Church complies with local, state and federal standards.
- Responsible for organization and cleanliness of office, office equipment, records, and correspondence.
- Complete other duties as requested.
Additional Notes
- We will provide the Office Manager with free training in Red Cross AED, CPR, and First Aid. (Additional trainings and certifications to be determined by the Lead Pastor.)
- Develop Standards of Performance within 6 months of being hired.
This document is subject to revision with or without the input of the Office Manager, as determined by the Board of Elders and/or the Lead Pastor. Hiring for the position constitutes an agreement with all of the terms and conditions as outlined above. Unwillingness to accomplish or failure to abide by the conditions as set forth in this document will constitute a voluntary resignation from the position on your part.
