Position Overview
We are seeking a highly organized, proactive, and detail-oriented individual to join our team as a Listing Coordinator, Transaction Coordinator, and Executive Assistant. This multi-functional role is crucial in ensuring the smooth operation of listing management, contract-to-close transactions, and executive-level administrative support. The ideal candidate is a self-starter who thrives in a fast-paced environment, can manage multiple priorities with ease, and has experience in real estate or a related field.
Key ResponsibilitiesListing Coordinator (LC)
- Manage all listing documentation and ensure compliance with brokerage and local regulations.
- Schedule photography, staging, signage, and lockbox installations.
- Input and maintain property listings in MLS and related platforms.
- Coordinate with sellers, vendors, and agents for listing preparation and showing schedules.
- Ensure all marketing materials are created and distributed (flyers, online ads, brochures).
- Track listing activity and provide regular updates to sellers and the team.
Transaction Coordinator (TC)
- Oversee the transaction process from contract to close for both buyers and sellers.
- Ensure all documents are completed, signed, and submitted in a timely manner.
- Schedule inspections, appraisals, closings, and coordinate communication among all parties (clients, agents, attorneys, lenders, title companies).
- Maintain accurate and organized transaction files (digital and/or physical).
- Follow up on contingency deadlines and required paperwork.
- Provide status updates to clients and agents regularly.
Executive Assistant (EA)
- Manage calendars, schedule meetings, and coordinate travel and appointments for executives.
- Handle email and phone correspondence on behalf of the executive or team.
- Prepare reports, presentations, and meeting agendas.
- Assist with personal tasks and special projects as needed.
- Maintain confidentiality and discretion at all times.
- Support recruiting, onboarding, and team communication efforts.
Qualifications
- Proven experience in real estate coordination or administrative roles.
- Strong knowledge of real estate contracts, documents, and compliance (MLS, CRM systems, etc.).
- Exceptional organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, Google Workspace, and real estate platforms (e.g., MLS, Skyslope, Dotloop, etc.).
- High attention to detail with a problem-solving mindset.
- Ability to work independently and as part of a team.
- Real Estate License preferred but not required.
Job Type: Full-time
Pay: $45,409.41 - $54,686.61 per year
