Job Overview
We are seeking a motivated and service oriented Member Experience Coordinator to join our team. In this role, you will serve as the primary point of contact for members, ensuring a seamless, positive experience while building strong relationships and encouraging engagement.
You will play a key role in daily operations by coordinating events, supporting members and business partners, and serving as a liaison for assigned committees. This position is essential to fostering a culture of service, professionalism, and connection across the organization.
Key Responsibilities
- Serves as primary front desk contact for phone, email, and walk-in inquiries.
- Supports Business Partner program administration and engagement, including partner onboarding, benefits delivery, and communications.
- Other duties as assigned by CEO.
Membership Services
- Serve as the main point of contact for general member inquiries.
- Provide information on RCAR programs, services, and benefits.
- Support members and business partners with access to RCAR events, education, and opportunities.
- Maintains strict confidentiality when handling sensitive member or association information.
Events, Education & Marketing
- Coordinate and support committees with planning of RCAR events, education programs, and webinars.
- Assist chairs of committee with event logistics including scheduling, setup, vendor coordination, registration, and follow-up.
- Assist with the design and distribution of marketing materials, social media content, newsletters and event promotions.
- Handles the coordination of classes to include setting up classes in AMS, registering attendees, proctoring, submitting rosters, coordinating with overseeing authorities and partners.
- Ensure consistent branding and messaging across all member communications.
- Maintains and regularly updates the association’s website to ensure all information remains accurate and current.
Vendor & Partner Management
- Onboard, and manage vendors and business partners for needs and events.
- Maintain positive relationships with vendors and ensure services are delivered as agreed.
- Support the Association Executive in developing and sustaining business partner programs.
Committee & Office Support
- Serve as staff liaison for assigned committees: coordinate meetings, prepare agendas, take minutes, and track action items.
- Communicate committee needs and recommendations to the CEO.
- Assist with office operations, including supplies, scheduling, and communications support.
Compliance
- Support compliance with NAR, Tennessee REALTORS®, and RCAR policies for members, offices, and staff.
- Ensure professionalism and discretion in all association matters.
Systems & Tools
- To include but not limited to Google, Microsoft Office (Word, Excel, Outlook), Canva (or similar design tools), social media platforms, Zoom or webinar tools and AMS systems.
QUALIFICATIONS:
Required:
- 2 years of administrative, customer service, or membership-based experience (nonprofit or association environment preferred)
- Strong computer literacy with Microsoft Office, Canva, and general online systems
- Excellent written and verbal communication skills
- Detail-oriented with ability to manage multiple priorities in a fast-paced environment
- Professional, welcoming demeanor with commitment to exceptional member service
Preferred:
- Experience in real estate, association management, or nonprofit setting
- Event planning or marketing support experience
- Basic knowledge of social media, newsletters, or website updates
