What are the responsibilities and job description for the Maintenance Director position at The Richardson Group?
Compensation & Benefits: Competitive salary, comprehensive benefits, company vehicle, and company-provided phone.
Position Overview
Richardson Group Real Estate Development & Management is seeking an experienced, resourceful, and highly organized Maintenance Director to oversee maintenance operations across a diverse portfolio.
This is a hands-on leadership position that requires a broad range of technical knowledge, strong problem-solving skills, and the ability to manage multiple priorities across different properties and locations. The successful candidate will be equally comfortable performing routine repairs, diagnosing complex maintenance issues, directing maintenance personnel, coordinating contractors, and overseeing larger repair and capital improvement projects.
Every day brings different challenges. Property types, building systems, conditions, and maintenance requirements vary throughout the portfolio, requiring someone who can quickly assess situations, determine the best course of action, and allocate resources effectively. The ideal candidate is a self-starter who anticipates problems, takes ownership of responsibilities, and follows through without requiring constant supervision.
In addition to technical expertise, this role requires strong organizational skills, sound financial judgment, effective communication, and the ability to balance immediate maintenance needs with preventative maintenance, long-term asset preservation, and operational efficiency.
Frequent travel between properties is required, along with occasional after-hours availability and emergency response.
We are looking for a proactive, solutions-oriented leader who can work independently, develop and support a maintenance team, maintain high property standards, and ensure that maintenance operations are completed safely, efficiently, and cost-effectively.
Key ResponsibilitiesMaintenance Operations & Technical Oversight
- Oversee daily maintenance operations across a portfolio of commercial properties and long-term residential rentals.
- Personally perform routine maintenance and minor repairs as needed, while identifying when issues require specialized expertise, additional staff, or outside contractors.
- Diagnose maintenance issues involving HVAC, plumbing, electrical systems, appliances, general construction, building components, and other mechanical systems within the scope of the individual's qualifications.
- Assess property conditions, identify deficiencies, determine repair priorities, and develop appropriate action plans.
- Respond to urgent maintenance concerns and coordinate emergency repairs to minimize property damage, safety risks, and operational disruptions.
- Conduct routine property inspections and quality-control checks to ensure properties, equipment, and building systems are properly maintained.
- Establish and manage preventative maintenance schedules to reduce breakdowns, extend equipment life, and minimize avoidable expenses.
- Evaluate recurring problems and identify root causes rather than relying solely on temporary fixes.
- Adapt maintenance strategies to accommodate varying property types, ages, conditions, building systems, and operational needs.
Leadership & Team Management
- Supervise, direct, and support maintenance personnel.
- Assign work orders, establish priorities, monitor progress, and ensure tasks are completed accurately and on schedule.
- Determine the appropriate allocation of work between in-house maintenance staff, the Maintenance Director, and outside contractors.
- Establish clear expectations for workmanship, productivity, communication, safety, and accountability.
- Train, coach, and evaluate employees to improve technical skills, efficiency, and quality of work.
- Monitor staffing needs, coordinate coverage, and adjust workloads as priorities change.
- Address performance concerns and implement corrective measures when necessary.
- Foster a professional, collaborative, and safety-focused team environment.
Vendor & Contractor Management
- Develop and maintain strong working relationships with vendors, contractors, and specialized service providers.
- Obtain and evaluate estimates, compare repair options, and make recommendations based on cost, quality, urgency, and long-term value.
- Coordinate service calls, oversee contractor work, and verify that completed projects meet company standards.
- Manage maintenance contracts, monitor vendor performance, and ensure services are delivered as agreed.
- Determine when work should be completed internally versus outsourced based on technical requirements, safety, cost, and available resources.
- Coordinate material and equipment purchases while maintaining appropriate inventory levels and controlling expenses.
Budgeting, Capital Projects & Asset Preservation
- Develop, manage, and monitor maintenance budgets, operating expenses, and capital improvement expenditures.
- Plan and oversee major repairs, renovations, equipment replacements, and capital projects from initial assessment through completion.
- Evaluate building systems and equipment to identify future maintenance needs and support long-term capital planning.
- Track repair costs, recurring expenses, material usage, and equipment performance to identify trends and opportunities for savings.
- Implement cost-effective maintenance strategies that protect property value without compromising safety or quality.
- Maintain accurate records of maintenance activities, vendor agreements, inspections, work orders, and project progress.
Organization, Systems & Communication
- Manage maintenance software, work-order systems, scheduling tools, and reporting processes across the property portfolio.
- Maintain organized records of open work orders, completed repairs, preventative maintenance, inspections, contracts, and outstanding projects.
- Use maintenance data and historical trends to identify recurring issues, anticipate future needs, and improve operational efficiency.
- Communicate proactively with company leadership regarding significant repairs, property risks, project timelines, unexpected expenses, and maintenance priorities.
Safety, Compliance & Emergency Response
- Establish and enforce safe work practices across all maintenance activities.
- Ensure work is performed in accordance with applicable building codes, safety requirements, and federal, state, and local regulations.
- Identify and address potential hazards, unsafe conditions, and maintenance-related risks promptly.
- Maintain appropriate documentation for inspections, repairs, incidents, and compliance requirements.
- Provide occasional after-hours support and respond to maintenance emergencies as required.
- Coordinate appropriate emergency response, repairs, and vendor support to protect tenants, occupants, employees, and company assets.
Required Qualifications & Experience

- Minimum of five years of progressively responsible experience in maintenance, facilities management, construction, or building operations.
- Broad working knowledge of building systems, including HVAC, plumbing, electrical systems, appliances, general construction, and mechanical equipment.
- Demonstrated hands-on experience performing routine maintenance and repairs, troubleshooting building systems, and assessing when specialized contractors are needed.
- Strong organizational and time-management skills, with the ability to manage multiple properties, projects, vendors, and deadlines simultaneously.
- Proven ability to work independently, exercise sound judgment, take initiative, and follow assignments through to completion.

- Previous supervisory or team leadership experience strongly preferred.
- Ability to understand budgets, evaluate estimates, track expenses, and make cost-conscious decisions.
- Strong written and verbal communication skills.
- Valid driver's license and ability to travel frequently between properties.
- Availability for occasional after-hours support and emergency response.
Preferred Qualifications
- Experience overseeing a diverse portfolio with varying building systems, ages, conditions, and maintenance requirements.
- Experience with preventative maintenance programs, capital planning, renovations, and major repair projects.
- Familiarity with vendor contracts, purchasing, inventory management, and maintenance budgeting.
- Demonstrated success improving maintenance procedures, controlling costs, and increasing operational efficiency.
The Ideal Candidate
The successful candidate will be a hands-on, solutions-driven leader who combines technical expertise with strong organizational, management, and business skills.
We are looking for someone who:
- Takes initiative: Recognizes problems, anticipates maintenance needs, and takes action without waiting for direction.
- Has broad technical knowledge: Can confidently assess a wide variety of maintenance issues and determine the appropriate solution, whether performing the repair personally or coordinating the right resources.
- Adapts quickly: Can move between commercial and residential properties, changing priorities, and unexpected challenges throughout the day.
- Is exceptionally organized: Maintains clear systems for work orders, scheduling, documentation, budgets, vendor coordination, and follow-up.
- Exercises sound judgment: Understands how to balance urgency, safety, repair costs, tenant needs, and long-term property value.
- Leads with accountability: Sets expectations, supports employees, monitors performance, and ensures work is completed properly.
- Thinks proactively: Focuses on preventative maintenance and long-term solutions rather than constantly reacting to avoidable problems.
- Communicates effectively: Keeps leadership informed, manages stakeholder expectations, and maintains professional relationships with employees, tenants, and vendors.
- Is dependable and flexible: Understands that property maintenance sometimes requires schedule adjustments, urgent decisions, and occasional after-hours response.
This position is best suited for someone who enjoys variety, takes pride in maintaining properties, and can transition seamlessly between hands-on repairs, technical troubleshooting, team leadership, and operational planning.
