Position: Payroll/Accounting Associate
Status: Full Time, Salary, Exempt
Report To: CFO
Pay Range: $67,000.00-70,000.00
The Payroll/Accounting Associate is responsible for the accurate recording of daily AP and AR. Assisting with General Ledger posting and reconciliation during the Monthly Close process, report preparation and data analysis. They are also responsible for the day-to-day operations of managing, maintaining and processing all payroll related tasks. The Payroll/Accounting Associate; works directly with the Foundation staff, the Sr. Staff Accountant, Human Resources, and vendors. They must maintain confidentiality and use personal discretion and judgement while performing their job.
Responsibilities:
Payroll Related Duties:
· Manage all payroll deadlines and semimonthly payroll tasks.
· Maintain all payroll operations according to company policies and procedures and ensure compliance with applicable laws and payroll tax obligations.
· Understand state and federal new hire, leave of absence, and termination laws.
· Maintain Employee files.
· System maintenance support, not limited to new hire set up, tax form processing, local tax set up, timekeeping input, termination processing, garnishment processing, verification of employment, rate changes direct deposit set up, and manual checks.
· Produce semimonthly, quarterly, yearly, audit reports, and other reporting inquiries.
· Maintain payroll information by collating, calculating, and entering data.
· Resolve payroll discrepancies and answer any employee payroll queries.
· Process and issue W-2 forms to employees.
· Check timesheets for accuracy.
· Manage all employee benefit programs, including the annual open enrollment process and subsequent payroll deductions.
· Manage 401k reporting and processes.
· Manager Workers Compensation reporting and processes.
· Collaborate with Human Resources (HR.)
· Maintain complete confidentiality at all times.
Accounting Related Duties:
· Enter daily AR transactions from admissions sales, museum store sales, events sales, membership, tour, and contributions.
· Reconcile sales such as Membership, Admissions, Store, Tours, and Foundation Events using specific Foundation programs.
· Prepare Accounts Payable disbursements with proper approvals on a timely basis for accounts as needed.
· Support Monthly Close activities.
· Support the annual Audit and Tax process with responsibility for supporting schedules as assigned.
· Other duties as assigned.
· Maintain professional and positive relationships with Foundation personnel, vendors, and volunteers.
· Support projects as requested by Foundation Management

Required Skills and Education:
- Bachelor's or AA degree
- At least two years of prior experience in an accounting role with demonstrated knowledge and experience with Accounts Payable or Accounts Receivable responsibilities.
- Must know basic Excel.
- At least one year of prior experience with QuickBooks preferred.
- Prior knowledge of Bill.com is a plus.
- Must know Purchase Orders and Purchase Requisitions.
- At least two years of prior experience in payroll processing.
- Knowledge of ADP processes is a plus.
