Responsibilities
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems with confidence, directing calls efficiently and courteously while maintaining excellent phone etiquette.
- Handle incoming correspondence, emails, and inquiries with clarity and professionalism.
- Maintain accurate data entry records using computer skills in Microsoft Office, Google Workspace, and other office management software.
- Support office management tasks such as filing, proofreading documents, scheduling appointments, calendar management, and organizing meetings.
- Assist with clerical duties including photocopying, scanning, faxing, and managing office supplies inventory.
- Provide customer support by addressing questions or concerns promptly and professionally while maintaining a positive attitude.
Qualifications
- Proven office experience with strong organizational skills and attention to detail.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills.
- Previous clerical or administrative experience preferred; experience in dental or medical receptionist roles is a plus.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Strong phone etiquette skills with experience managing multi-line phone systems.
- Ability to handle multiple tasks efficiently while maintaining professionalism under pressure.
- Knowledge of QuickBooks or bookkeeping experience is advantageous but not required.
