The Statistics and Mathematics departments in the College of Arts and Sciences at the University of Virginia seek an Academic Operations Specialist. The Academic Operations Specialist plays a central role in the day-to-day administration of the academic programs in the Statistics and Mathematics departments. This position serves as a primary point of contact for students navigating academic requirements, milestones, financial aid, and admissions processes - while also partnering closely with other offices in the College and across Grounds. The ideal candidate brings strong attention to detail, comfort with data systems, and a genuine commitment to student success.

Key Responsibilities:

Academic Support

  • Provide direct support to academic program directors and serve as the primary point of contact for students in Statistics and Mathematics departments
  • Provide guidance and support directors and students with academic requirements, tracking program milestones, degree planning and navigation of academic policies and procedures
  • Oversee and maintain confidential student records in the Student Information System (SIS); regularly audit student records to ensure students are meeting key requirements or milestone for their programs
  • Collaborate with academic director and department faculty on semester schedule of courses and timely entry into University systems
  • Support department leadership with curriculum planning
  • Coordinate with academic director as well as other department personnel on graduate student funding for each semester including summer and manage the entry into appropriate University systems
  • Partner with Student Financial Services (SFS) and Graduate School of Arts & Sciences (GSAS) personnel as well as department leadership to resolve any student financial and funding issues that may arise
  • Support the work of the department Graduate Admissions Committee; enter and track program decisions throughout the admissions cycle in University systems. Coordinate timely and accurate responses to applicant queries

General Administration

  • Provide general administrative support across both departments, including correspondence, scheduling, document preparation, records management and purchasing
  • Serve as a resource on departmental and University policies, directing faculty and students to appropriate institutional offices as needed
  • Support additional operational and administrative needs as they arise

Minimum Qualifications

Education: Bachelor's degree

Preferred Qualifications

  • Working knowledge of student related systems including Student Information System (SIS), Student Aid Funding Module (SAFM) in SIS, Slate, and Stellic
  • Experience working in an academic environment

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

The anticipated hiring range is $65,000-$70,000, commensurate with education and experience.

This position is based in Charlottesville, VA, and must be performed fully on-site.
