Responsibilities
- Manage front desk operations, greeting visitors and directing phone calls with professionalism and courtesy using multi-line phone systems.
- Oversee office management tasks including supply ordering, filing, and maintaining organized records.
- Utilize Microsoft Office Suite and Google Workspace to prepare documents, spreadsheets, reports, and correspondence with accuracy and clarity.
- Handle data entry tasks efficiently using spreadsheets and other productivity software, ensuring data accuracy and confidentiality.
- Support bookkeeping activities with basic financial recordkeeping and invoice processing using QuickBooks or similar accounting tools.
- Coordinate calendar management and scheduling for team meetings, appointments, and client engagements.
- Provide exceptional customer service by assisting clients, visitors, and team members promptly via phone or in person while maintaining excellent phone etiquette.
- Assist with clerical duties such as proofreading documents, managing filing systems, and supporting administrative projects as needed.
- Demonstrate strong computer literacy and technical proficiency to troubleshoot basic office equipment and software issues.
- Foster positive client communication through professional correspondence and timely follow-up on inquiries or requests.
Qualifications
- Proven experience in office management or administrative roles with a strong background in clerical support.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and familiarity with productivity software.
- Experience with QuickBooks or other bookkeeping/accounting software is highly desirable.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong communication skills, including phone communication and customer service expertise; bilingual abilities are a plus.
- Technical proficiency in computer skills such as data entry, word processing, proofreading, and file management.
