Corporate Fleet & Purchasing Manager (Kansas City, MO)
Job Description: This individual oversees purchasing, fleet operations, and facilities for the organization. This role is responsible for a variety of areas: managing the acquisition, maintenance, and disposal of vehicles and equipment, overseeing the purchasing of supplies, materials, and services for facilities, managing and curating long-term relationships with vendors, as well as overseeing the contract management lifecycle. They ensure efficient fleet management, cost-effective procurement, and compliance with relevant regulations.
Key Responsibilities:
Purchasing Management
- Develop and implement comprehensive purchasing strategies to procure goods and services efficiently and cost-effectively
- Identify, evaluate, and select new suppliers based on quality, reliability, and cost
- Build and maintain strong, long-term relationships with key vendors
- Negotiate favorable terms, pricing, and contracts with suppliers for all purchased goods and services, including fleet vehicles, parts, consumables, facility supplies, services, and general office supplies
- Assist in developing the annual budget, analyze spending patterns and identify opportunities for cost savings and process improvements
Fleet Management
- Vehicle Acquisition & Disposal: Assess company needs to determine optimal vehicle types and quantities
- Manage the end-to-end lifecycle of fleet vehicles, including acquisition, registration, licensing, insurance, and disposal
- Track and analyze maintenance costs to identify trends and opportunities for improvement.
- Monitor fleet utilization, performance metrics, and driver behavior (in partnership with Safety Manager)
- Implement and manage fuel programs
- Maintain accurate and up-to-date records for all fleet assets, including acquisition details, maintenance history, fuel consumption, and compliance documentation (partnership with Logistics Coordinator)
Facilities Management
- Oversee the maintenance, repair, and operational efficiency of all company facilities, including HVAC, electrical, plumbing, and groundskeeping
- Project Mange new building activity
- Manage and supervise external contractors for facility-related services
- Respond promptly to facility-related issues and emergencies
- Monitor and manage utility consumption
Contract Management
- Assist with review of contracts and coordinate communication between legal and the internal customer
- Develop and maintain a contract repository
Minimum Qualifications
- Bachelor's degree in accounting, finance, or related field
- 1 year experience with procurement or fleet management in a professional setting
- Strong administrative and time management skills
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Ability to work independently in a remote environment while collaborating effectively with a team
