The QTI Group is partnering with a growing, employee-owned print and manufacturing company in Madison to hire a Print Production Coordinator. This role is ideal for someone who thrives in a fast-paced, detail-driven environment and enjoys being the go-to resource between customers, sales, and production. You’ll manage projects from estimate through delivery, live heavily in the ERP system, and play a key role in keeping both internal and external partners informed and aligned. Someone who is curious, proactive, and comfortable operating in the “gray” between departments will do well in this role.

This is a direct hire, full-time position. The schedule is onsite Monday–Friday, 8:00 am–5:00 pm, with flexibility as needed. Compensation starts at $50k /yr. depending on experience.

Responsibilities

  • Serve as the primary point of contact for assigned customer accounts.
  • Manage order entry, job check-in, specification confirmation, job tracking, and issue resolution.
  • Prepare estimates for repeat jobs and create clear, accurate job plans for production.
  • Process job change orders, purchase orders, and updates within the ERP system.
  • Communicate with customers to confirm specifications, changes, and approvals.
  • Review customer-supplied files and coordinate press checks as needed.
  • Partner closely with sales, estimating, and production teams to ensure successful project execution.
  • Recognize and support improvements to streamline workflow from customer service through production.
  • Support project profitability and provide feedback related to assigned customer accounts.
  • Support customer satisfaction, project profitability, and overall account success.
Qualifications

  • 5 years of experience in customer service, estimating, planning, or project coordination is required.
  • At least 3 years of experience in printing or print finishing is strongly preferred.
  • 2-year degree or equivalent relevant experience is required.
  • Experience working in ERP or job management systems; Pace or EFI systems are a plus.
  • Strong attention to detail, organization, and problem-solving skills.
  • Comfort managing multiple priorities in an email-heavy, deadline-driven environment.
  • Ability to communicate effectively with customers and cross-functional teams.
