The Clinical Scheduling Specialist serves as the single point of ownership for the surgeon’s clinic schedule, ensuring timely access for high-priority patients while maintaining efficiency, balance, and clinical appropriateness. This role combines advanced scheduling expertise with strong clinical awareness to protect urgent consult capacity—particularly oncology—and minimize disruptions related to reschedules, cancellations, and no-shows.
Administrative Scheduling
- Own and optimize the surgeon's clinic schedule to ensure timely patient access, efficient utilization, and smooth clinic flow.
- Prioritize urgent appointments, including cancer consultations, while balancing new and established patients.
- Collaborate with the surgery coordinator on overbooks and add-ons to maintain schedule integrity.
- Monitor cancellations, no-shows, and scheduling trends to minimize disruptions and maximize access.
- Maintain accurate scheduling documentation in the EMR and coordinate updates with clinical teams.
Clinically Aware Scheduling
- Apply knowledge of visit types, pathology, radiology terminology (including BI-RADS), and clinical urgency to support appropriate scheduling decisions.
- Escalate scheduling concerns that may delay patient care or impact clinic operations.
- Prioritize high-acuity and time-sensitive patients without serving as a clinical triage decision-maker.
Cross-Training & Operational Support
- Provide front desk and scheduling support across multiple locations as needed.
- Assist with check-in, registration, scheduling adjustments, and patient navigation.
- Cover staffing gaps to ensure continuity of patient access and clinic operations.
Success Measures
- Timely access for high-priority patients.
- Reduced reschedules, no-shows, and schedule disruptions.
- Improved provider confidence, clinic utilization, and patient experience.
Qualifications
- Experience in medical scheduling, preferably in a surgical or oncology setting.
- Strong organizational, prioritization, and communication skills.
- Clinical awareness to support scheduling decisions without requiring licensure.
Compensation & Benefits:
- · Pay Range: $24-$29.50 an hour
