About the Role
This Legal Secretary position is an essential part of the legal team, providing comprehensive support to attorneys and paralegals and helping maintain strong, reliable client relationships. You will be responsible for delivering polished administrative and legal assistance while applying a solid understanding of firm protocols, legal processes, and client expectations to keep workflow smooth and efficient.
Key Responsibilities
- Prepare, revise, and finalize a variety of legal documents and professional correspondence with high accuracy.
- Maintain current client and matter records, including contact lists and communication logs.
- Coordinate calendars and appointments using Outlook and keep schedules organized.
- Manage daily time entry tasks such as entering, reviewing, and closing time records.
- Open new matters, prepare engagement materials, and complete conflict check procedures.
- Work with attorneys, paralegals, and accounting to support billing, including updating prebills, running reports, and issuing final invoices.
- Arrange meetings, conference calls, and all travel-related logistics.
- Process expense reimbursements, vendor invoices, and check requests.
- Provide litigation support from the beginning of a case through trial or settlement.
- Assist with document organization, court filings, deposition preparation, and trial materials.
- Partner with paralegals on auditor requests and opinion letter preparation.
- Maintain clear and professional communication with clients and consistently deliver excellent service.
About You
- Experience: At least two years of recent experience in a legal support role.
- Technical Skills: Strong proficiency with MS Office programs, including Word, Excel, PowerPoint, and Outlook. Knowledge of legal billing systems, databases, and time entry tools.
- Soft Skills: Exceptional organization, close attention to detail, strong writing and communication skills, and an ability to build trust with colleagues and clients.
- Teamwork: Collaborative, client-centered, and dedicated to contributing to team and firm success.
