SUMMARY

At The Pest Group, our success depends on our people, productivity, and processes. As an Office Administrative Assistant in our Fremont Branch, you will play a key role in supporting branch operations and ensuring the office runs smoothly and efficiently. Working closely with the Branch Manager, you will handle a variety of clerical and administrative tasks, including welcoming and directing visitors, coordinating meetings and appointments, answering phones, responding to emails, and managing time-sensitive paperwork. This position is ideal for a detail-oriented, organized professional who thrives in a fast-paced environment.

DUTIES AND RESPONSIBILITIES

  • Perform a wide range of administrative tasks to support daily branch operations.
  • Answer and direct all incoming calls in a professional and courteous manner.
  • Communicate with customers via phone and email, responding promptly to inquiries, requests, and complaints.
  • Schedule and confirm appointments, organize daily routes, and assist with calendar coordination.
  • Prepare, complete, and submit required reports and paperwork to customers and corporate headquarters.
  • Handle accounts receivable and data entry tasks using company CRM systems and Excel.
  • Maintain accurate filing systems and manage time-sensitive information to meet deadlines.
  • Interface professionally with outside organizations and vendors.
  • Maintain punctual, reliable, and predictable attendance.
  • Represent the company professionally in all interactions with customers, employees, and the public.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Proven success in office administration or similar administrative support role.
  • Prior experience in Fumigation or Pest Control is a plus.
  • Excellent written and verbal communication skills.
  • Strong time-management, multitasking, and organizational abilities.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and familiarity with QuickBooks or similar systems.
  • Ability to maintain confidentiality of company and customer information.
  • Strong attention to detail and accuracy.
  • Self-motivated, dependable, and punctual.
  • High school diploma or equivalent required.
  • Bilingual (English/Spanish) preferred.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

  • Frequently required to sit; occasionally required to stand or walk.
  • Regular use of hands and fingers for typing and data entry.
  • Regular communication by phone and in person.
  • Occasional exposure to moving mechanical parts; noise level typically moderate.
  • Must be able to work effectively in a fast-paced, high-stress environment.
