The Park School of Buffalo is seeking a highly organized and detail-oriented Administrative Assistant. The ideal candidate will thrive in a fast-paced environment and possess strong communication and multitasking skills. Under supervision, they will perform a variety of clerical record keeping, record checking, filing, typing and public contact duties of moderate difficulty in a school office; and to perform other related duties as assigned, including school attendance.
Responsibilities:
- Perform a variety of clerical work, including typing, proofreading, filing, checking, and recording information on records
- Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly
- Sort and distribute mail
- May assist in matters related to the school health office including maintenance of immunization records
- Duplicate materials, operate a variety of office machines, including computer, copying, and mailing machine
- Maintain accurate attendance records, including verifying student absences, providing information from Veracross database
- Contact parents by telephone or email regarding student absences
- Type requisitions and orders supplies
- Manage transportation arrangements (district bussing), upon returning to normalcy
- Maintain confidentiality of highly sensitive information
- Maintain The Park School of Buffalo calendar
- Conduct phone calls and compose emails on behalf of leadership team as assigned
- Assist in planning and coordinating some school events, meetings, and conferences, and arrange catering, transportation, rentals and accommodations as necessary
- Coordinate arrangements for teacher conferences, i.e. registration, travel, hotel
- Model the mission, philosophy and goals of the school to all staff, parents, students, and the community
Qualifications:
- Fluent in use of MS Office applications and Google Suite
- Excellent communication and writing skills
- Strong organizational skills and ability to juggle multiple projects simultaneously
- Ability to prioritize well and to work efficiently under pressure
- Ability to work independently and follow through on assignments with minimal direction
- Ability to handle confidential matters with discretion
- Skill in managing a complex calendar
- Proficiently operate standard office equipment
- Receive and give information over the telephone or in person in a courteous manner
- Communicate effectively with students, families and staff
- Maintain records and prepare accurate reports
- Able to lift 25 lbs and walk through campus regularly
- Reliable and consistent work ethic
