HR Administrative Assistant
A leading global financial services organization is seeking an HR Administrative Assistant to join its Human Resources team. This position will focus on providing executive-level administrative support, event coordination, and project management assistance across several HR initiatives.

What You'll Be Doing
Executive & Administrative Support
- Provide high-level executive support to senior HR leaders, including complex calendar management, meeting coordination, travel arrangements, expense reporting, and general administrative support.
- Prepare agendas, meeting materials, action items, presentations, and other business documents.
- Exercise discretion when handling confidential and sensitive information.
Event Planning & Coordination
- Coordinate internal and external HR-related events, including scheduling, logistics, vendor communication, and on-site support.
- Assist with occasional evening events as needed.
Project & Program Coordination
- Support HR initiatives through project coordination, tracking milestones, maintaining documentation, and following up on deliverables.
- Assist with process improvements and operational initiatives designed to increase efficiency.
- Partner with various HR teams on learning and development programs, employee engagement initiatives, and other strategic projects.
- Support the completion of client questionnaires, surveys, and other business-related requests.
Technology & Process Support
- Utilize collaboration and document management tools to organize information and improve workflow efficiency.
- Learn new technology platforms quickly and identify opportunities to streamline administrative processes.
Qualifications
- Bachelor's degree required.
- 3 years of executive administrative, coordinator, or HR support experience.
- Previous experience supporting senior leaders in a corporate environment is strongly preferred.
- Excellent written and verbal communication skills.
- Strong organizational, planning, and project coordination abilities.
- Proven ability to prioritize competing deadlines while maintaining accuracy and attention to detail.
- Self-motivated, resourceful, and proactive with a customer-service mindset.
- Comfortable working independently while collaborating across multiple teams.
- Strong technical aptitude with Microsoft Office Suite and the ability to quickly learn new business applications and collaboration tools.
- Experience supporting events, meetings, or company programs is preferred.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Occasional evening event support may be required.
