About The Healing Project

The Healing Project is a nonprofit organization dedicated to providing restorative retreats for families navigating the profound loss of a loved one.


We believe healing often begins when families have the opportunity to step away from everyday responsibilities and spend meaningful time together in a peaceful, restorative environment. Our retreats provide families with a beautiful place to reflect, reconnect, and simply be together during one of life's most difficult seasons.


We're excited to share that we've recently purchased a home in Lincoln City, Oregon. This special property will serve as the heart of our mission, welcoming families from across the Pacific Northwest and beyond for years to come.


About the Role

We're seeking a compassionate, organized, and dependable individual to oversee both the guest experience and day-to-day coordination of our retreat home.


This role blends hospitality, property management, guest services, and nonprofit program coordination. You'll help ensure every family arrives to a welcoming, peaceful environment while also helping care for the home that makes these experiences possible.

Primary Responsibilities

Family & Guest Experience

  • Serve as the primary point of contact for participating families.
  • Guide families through the retreat planning process with compassion, professionalism, and discretion.
  • Coordinate retreat schedules, arrival details, and guest communications.
  • Answer questions and ensure families feel welcomed, supported, and cared for before, during, and after their stay.


Retreat Home Preparation

  • Prepare the home before each guest arrival.
  • Purchase and stock groceries, welcome items, journals, books, and requested comfort items.
  • Ensure the home is exceptionally clean, organized, and ready to provide a peaceful retreat.
  • Perform walkthroughs before and after each stay.

Property Coordination

  • Help oversee the ongoing care of the retreat home.
  • Coordinate with housekeeping, landscapers, maintenance professionals, and other local vendors.
  • Monitor supplies, furnishings, and household inventory.
  • Identify maintenance needs and help coordinate repairs.
  • Take pride in maintaining a warm, beautiful, and welcoming environment for every family.

Program Administration

  • Review incoming family applications.
  • Maintain confidential program records.
  • Assist with scheduling and administrative coordination.
  • Support additional organizational projects as needed.

Future responsibilities may include:

  • Managing multiple retreat properties
  • Supervising volunteers and contractors
  • Planning fundraising and community events
  • Building relationships with local businesses and partners
  • Supporting donor engagement
  • Assisting with nonprofit operations and program development
  • Helping expand The Healing Project's impact throughout Oregon and beyond

Preferred Experience

Experience in one or more of the following is a plus:

  • Hospitality or guest services
  • Property management
  • Vacation rental management
  • Event planning
  • Administrative support
  • Nonprofit organizations
  • Customer service
  • Home staging or interior organization

Additional Requirements

  • Flexible schedule, including occasional evenings or weekends to support guest arrivals and departures
  • Reliable transportation and valid driver's license
  • Ability to lift and carry approximately 30 pounds while preparing the retreat home
  • Comfortable running errands and coordinating with local vendors throughout the Lincoln City area
