Position Description Summary:Directly reports to Catering Director. Full Time Status – 32 - 40 hours per week. Promote the club’s dining facilities for private banquets and social meetings or other member related activities. Develop contracts for and oversees all administrative and operational aspects of preparing and serving events. Works with banquet and other department to assure that the guests’ expectations are exceeded Duties and Responsibilities:Serves as primary phone contact for F&B department and facilitates communication needs. Receives and answers email, telephone and interoffice messages.Responds and routes phone calls, emails and messages as necessary.Assists Catering Director in keeping the lines of communication open between departments.Books, coordinates and facilitates functions using the Club Connect System. Familiarity with all Club Connect programs.BEO and Floor Plan creation and distribution to all departments.Suggests and assists guests plan menus in conjunction with the Executive Chef.Confirms details for all functions on a daily basis including logging and communicating changes (Master Change Order, email and verbal).Requests deposits when applicable.Transmits pertinent information as it pertains to other departments for procuring of decorations, special beverages, entertainment, parking and other special requests.Over sees and assist in creating the daily lobby, kiosk and F&B Office poster (banquet captains).Assists Catering Director with daily invoicing, change order or other tasks.Coordinates reservations with the Front Desk as needed.Provides guest tours and promotes Club facilities for functions.Coordinates and distributes weekly function sheets.Critiques events for future needs and quality improvements.Maintains and assists with administrative needs within F&B Office. Assists F&B Dept. with lobby poster, special menus, other signage, other special assignments including weekly F&B meeting minutes.Maintains past, present, recurring and potential client files.Works with Catering Director on direct membership marketing plans for banquet business.Creates and maintains online tools (K Drive‐ menus, banquet forms, floor plans, etc.).Creates and stocks Catering packets.Maintains and organizes workspace.Maintains function file cabinet including filing and storing new and old files and BEOs.Works with technicians and other staff on computer, technical, implementation and all other function issues.Coordinates and prepares Thank you cards to event hosts.Other duties as assigned.Qualifications and Requirements:Exceptional telephone etiquette and hospitality service.Good writing and verbal skills.Proficient in Microsoft Word and Excel.Food and beverage knowledge (preferred).Requires problem solving and judgement, alertness and strong attention to details.Highly organized, able to multi-task, and prioritize in order to meet deadlines and requests.Preferred Criteria/Experience:Word, Excel, F&B software background.Food and beverage.Hospitality.Administrative.Education and Training:College degree preferred; On the job training.Education -High School Diploma or GED.Condition of Employment:Pre-employment negative drug test required.Join Our ‘ohana & Enjoy Our Amazing Benefits (for full-time and part-time positions):100% health/dental/vision insurance premium coverage for employees, and 70% of the premium for dependents covered by the Club.Free Parking.Free Employee Meal Daily.Christmas and Anniversary Bonuses.Employee of the Month Bonuses.401K eligible after 6 months of service with employer matching at 50% of employee contribution.10 Paid Vacation and 5 PTO Days.10 Paid Holidays.Paid Time-Off for Birthday.Paid Time-Off for Bereavement.Pre-Tax Flexible Spending Accounts.Employee Assistance Program.Financial Wellness Program.Group Life Insurance.Ready to Join Our Team?At The Pacific Club, we're committed to helping you grow both professionally and personally.
