What are the responsibilities and job description for the Temporary Business Systems Analyst position at The Only Agency?
Business Systems Analyst (Finance / CRM) – short-term contract
About The Only Agency
As a creative management agency, we represent wardrobe stylists, makeup artists, hair stylists, manicurists, photographers, creative directors, and more. With hubs in New York, Los Angeles, Nashville, and London, we are at the heart of the industries we serve. We champion creative leaders who persistently redefine trends and push the limits in the fashion, beauty, and entertainment industries. We are masters at establishing connections and pairing creatives to meet the needs of our celebrity, brand, and editorial partners.
About The Role
We’re looking for a temporary Business Systems Analyst to help refine and document our internal TOA platform: the system that powers our deal booking, invoicing, and reporting operations.
TOA began as a finance-led booking and billing system, and we’re now expanding it into a broader enterprise platform that unifies deal management, client and artist relationships, and performance analytics. This is a short-term project (4–6 weeks) focused on translating business-defined data into a developer-ready specification, and identifying opportunities to make the system more complete and scalable.
Key Responsibilities
- Review our finance team’s data dictionary spreadsheet (list of fields and definitions).
- Organize and translate that into a technical specification — field types, validation rules, relationships, and workflow logic.
- Identify missing fields or structural improvements that would make TOA more scalable and data-consistent.
- Build a simple ERD (Entity-Relationship Diagram) showing how core data entities connect (Deals, Artists, Clients, Events, etc.).
- Collaborate asynchronously with our team (U.S. ET time zone) and developers in India.
- Summarize findings and recommendations in clear, business-friendly language.
Qualifications
- Experienced Business Systems Analyst or Business Analyst with CRM, ERP, or financial data project experience.
- Comfortable bridging between accounting users and developers — you understand both perspectives.
- Strong communicator who can simplify complexity and document clearly.
- Proactive in identifying gaps and proposing better structures.
- Experience with Salesforce, NetSuite, or custom CRM/ERP platforms a plus.
Timeline: ~4–6 weeks total, part-time; 40–60 total hours estimated.

Location: Remote
The offered hourly rate for this role will be in the rage of $40-$65/hr and will be based on factors such as experience, education, skill set, geographic location, and the specific responsibilities of the role.
