Supervisory Paralegal needed to join a Litigation Operations team in a top law firm in their Oakland office.

A minimum of 15 years of experience as a paralegal or case manager at a law firm, with at least 1 year in a supervisory role

Responsibilities

  • Oversee the workflow of West Coast matters, including supervising a team of litigation paralegals and project assistants based in our Oakland office; ensure that all paralegal work product (e.g., discovery, pleadings, trial exhibits, legal research) meets firm standards for accuracy, completeness, and professionalism; and speak with clients and potential clients to pursue investigations and facilitate case administration.
  • Mentor and coach paralegals and project assistants on advanced litigation support techniques, case management strategies, and professional development; train more junior members of the Litigation Operations team in aspects of trial support; and assist the Firm’s Director of Litigation Operations and Litigation Operations Manager with onboarding new paralegals, ensuring a smooth integration into the Firm and team.
  • Collaborate with Director of Litigation Operations and Litigation Operations Manager across the firm to ensure consistency and share best practices; participate in cross-functional team projects to implement new or updated technology; and interact and liaise with practice support vendors.
  • Facilitate and coordinate logistics during negotiations, arbitrations, trials, and settlement discussions; create trial and witness notebooks, identify and organize exhibits, coordinate witness schedules, maintain trial calendars, set up trial spaces; and travel for trial support as needed.
  • Organize and prepare pleadings and discovery documents and support litigation by reviewing, finalizing, and compiling documents; assist and manage the discovery process, prepare for depositions, and prepare for expert discovery; assist in case investigations and development by conducting factual and legal research; and maintain electronic case files and manage large document discovery databases.
  • Draft, proofread, and format routine correspondence and litigation documents, conforming to applicable rules of federal court, state courts, administrative agencies, and arbitration forums; perform and oversee cite-checking, Shepardize case law, confirm case quotes, and proofread briefs and other legal documents.
  • Assist with administrative tasks and ad hoc assignments for attorneys and proactively assume other duties as necessary.

Qualifications

The successful candidate will have a combination of employment, educational, and life experience that demonstrates the qualities and skills below:

  • Education and Experience: You have a minimum of 15 years of experience as a paralegal or case manager at a law firm, with at least 1 year in a supervisory role. You have a strong familiarity with federal and California state court litigation procedures and experience with trial technology (e.g., Trial Director, CaseMap, TextMap, Trial Director). You have a proven track record of supporting attorneys in all aspects of litigation in a highly collaborative environment. Paralegal certification or equivalent preferred.
  • Leadership: You have experience building, mentoring, and developing a team and cultivating a respectful work environment. You lead by example.
  • Clear Communication and Attention to Detail: You express yourself clearly and concisely, always highlighting the most important information. You proactively communicate the status of your work and share updates with colleagues when necessary. You ensure that your work is mistake free.
  • Confidentiality: You must be able to adhere to Firm policies regarding the protection of confidential data and demonstrate sensitivity to (and good judgment in connection with) confidential attorney, personnel, and Firm matters.
  • Flexibility and Organization: You are versatile and able to respond quickly and positively to shifting demands and opportunities. You are comfortable in an environment where your responsibilities may vary from day to day. You demonstrate a “no job too big, no job too small” attitude, and take a collaborative, team-focused approach to rejuggling priorities and contributing to Firm tasks. You are comfortable balancing tasks of varying levels of urgency and complexity and work well under pressure with tight deadlines.

You proactively anticipate, communicate, and work to independently resolve obstacles you encounter in your work. You possess a strong client- service orientation and ability to work well individually and as part of a team.
  • Physical Requirements: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.
