POSITION DESCRIPTION
The Office of Senator Mary Washington is seeking an Administrative Associate to support the effective operation of a dynamic legislative office, serving Maryland’s 43rd District. In this position, you will work closely with the Chief of Staff, contributing to essential projects and managing day-to-day operations that reflect the Senator’s commitment to responsive, community-focused service. Responsibilities include coordinating complex schedules to ensure efficient time management, facilitating effective communication, fostering collaboration among team members, and building strong relationships with colleagues and external agencies.
TYPE OF POSITION: Part-Time, Contractual (Immediate Hire)
This immediate opening is a fixed-term appointment, beginning September 1 and concluding November 13, with the possibility of renewal. The skills and knowledge gained as an Administrative Associate can serve as a strong foundation for advancement in a wide range of fields—including administration, project management, communications, technology, nonprofit work, and other professional arenas where organizational excellence and adaptability are highly valued. Compensation includes a competitive hourly or daily rate. Please note that benefits such as health insurance and paid leave are not part of the compensation package.
DUTIES AND RESPONSIBILITIES
- Provide comprehensive administrative support to the Chief of Staff, Senator, and team, including technical project assistance and correspondence management.
- Support constituent services by distributing mail, following up on meetings, and coordinating with agencies and community partners.
- Assist the Chief of Staff with organizing and managing the Senator's calendar, including scheduling and confirming meetings, appointments, and public events.
- Draft, format, and distribute official emails, coordinate outgoing communications, and ensure timely follow-up.
- Maintain and update office and constituent databases, including data entry and verification, to keep records accurate and up to date for the Senator's initiatives and outreach.
PREFERRED SKILLS AND ATTRIBUTES
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams) and openness to learning new software tools as needed.
- Comfortable learning and using digital platforms for newsletters (such as Mailchimp or Constant Contact), social media (Facebook, X/Twitter, Instagram), and other outreach and engagement tools.
- Good written and verbal communication skills, with a professional and friendly attitude in all interactions.
- Ability to manage multiple tasks, adapt to changing priorities, and stay organized in a busy environment.
- Proactive and resourceful in problem-solving, finding creative solutions even with limited information or time.
- Strong attention to detail and the ability to meet deadlines.
LOCATION AND HOURS: This is a hybrid position, with some work performed remotely and other times in the Baltimore District Office. Standard hours are Monday through Friday, 8:30 AM to 4:00 PM, with occasional adjustments depending on workload. Flexibility is important for meeting the office's needs and adapting to changing priorities.
COMPENSATION: $20–$22.00/hour or $160–$176/day (contractual, temporary; no benefits). The specific rate within this range will be based on your experience and qualifications, and will be confirmed during the offer process.
