What are the responsibilities and job description for the Administrative Assistant position at The O'Connor Group?
The Administrative Assistant (fully remote) will support
efficient operations of a large Human Services contract. The
Administrative Assistant role requires an individual who is highly
organized, with a strong attention to detail and the ability to multi-task
in a deadline driven environment with multiple project deliverables
happening concurrently.
- Job Responsibilities:
- Document Preparation and Management:
receive, process, and distribute documents ensuring that confidentiality
requirements (i.e. HIPAA) are followed including redacting information,
as required.
- Meeting Scheduling: coordinate meetings
with internal and external stakeholders including maintaining a master
calendar.
- Data Entry: accurately enter data and
summary information into various electronic platforms, databases, and/or
spreadsheets.
- Reporting: provide support in the
production and distribution of scheduled and ad hoc reports. Support
includes, but is not limited to, data entry, proofreading, formatting,
and submission.
- Complete projects and special assignments by
establishing objectives, determining priorities, managing time, gaining
cooperation of others, monitoring progress, problem-solving, and
adjusting plans.
- Track progress of contract deliverables completed by
Program Manager(s) ensuring that deadlines are met.
Requirements
- Job Requirements/Qualifications:
- Associate’s degree in business or two years of
attendance at a college or university in business. Bachelor’s degree is
preferred.
- Proficiency in all of the following Microsoft Office
applications: Word, Excel, Teams, and PowerPoint. Previous experience
with Adobe Pro or other document redaction software is a plus!
- Experience in the Human Services field; familiarity
with Intellectual Disabilities services and terminology preferred.
- Previous experience with data collection and database
management preferred.
- Knowledge of standard business formats and styles for
letters and business forms.
- Self-motivated, shows initiative, and ability to work
independently.
- Must be able to work in a fast-paced environment and
manage multiple tasks and priorities without sacrificing quality.
- Strong organizational and time management skills.
