The Property Management Assistant supports the property and asset management aspects of The Neighbor Project’s (the “organization”) Property Management & Real Estate Development Director, which includes maintaining care for the commercial and residential properties leased or owned by the organization. This role therefore, will require learning and working within the Buildium property management software for tracking, updating, and closing tasks, as well as managing tenant communication, leasing activities, and compliance documentation. The software is central to all property operations, so ongoing proficiency is essential.
Pay & Schedule
· Rate: $25/hour
· Hours: Up to 30 hours per week
Property Management Assistant – Time Allocation
1. Tenant Relations & Communication – 60%
2. Leasing Support – 30%
3. Administrative & Compliance – 10%
1. Tenant Relations & Communication (60%)
· Respond to tenant calls, emails, and text messages as needed.
· Help draft letters and mail them to tenants.
· Support with unique tenant situations, concerns, and complaints.
· Work Order Management: Keep track of incoming work orders by coordinating with the Maintenance Tech, vendors, and tenants; keep all parties informed and ensure work orders are updated in the system until they are closed.
2. Leasing Support (30%)
· Communicate with rental leads and provide apartment information as needed.
· Schedule and conduct unit showings for prospective tenants.
· Collect rental applications and assist with applicant screening.
· Prepare lease agreements and renewal packages for signature.
· Conduct move-ins and move-outs.
· Support with conducting apartment inspections on an as-needed basis.
3. Administrative & Compliance (10%)
· Organize and maintain accurate tenant files and other key property management files (digital).
· Log all income received (rent payments, subsidies, etc.).
· Log all expenses paid (utilities, vendor invoices, etc.).
· Track and maintain leasing and vacancy status in Buildium.
· Generate and log apartment inspection reports in the system after inspections.
Education
· High school diploma or equivalent required, Associate’s degree preferred
Experience
· Experience creating project scopes and managing contractors
· Strong interpersonal, communication and organizational skills
· Sensitivity to the needs of residents and families from low-income, high-risk and culturally diverse backgrounds
· Experience with property / home maintenance preferred
· Organized and attentive to detail
· High degree of self-motivation
· Practice in appropriate conflict resolution methods leading to positive solutions
Computer and software knowledge
· PC literate with strong skills and experience in MS Office (Word, Excel)
· Experience working with property management software (such as Buildium) preferred
· Willingness to learn and work daily within Buildium to track, update, and close work orders.
Job Type: Part-time
Pay: $25.00 per hour
