Responsibilities
- Greet clients warmly upon arrival and assist with check-in/check-out procedures
- Manage appointment scheduling using digital calendar tools, ensuring optimal flow of clients throughout the day
- Answer multi-line phone systems promptly with professional phone etiquette, directing calls accurately and efficiently
- Handle client inquiries via phone, email, or in person, providing excellent customer support and support for special requests
- Maintain organized filing systems for client records, invoices, and other administrative documents
- Support office management tasks such as inventory tracking and supply stocking
- Proofread promotional materials, appointment confirmations, and correspondence to ensure clarity and professionalism
Experience
- Prior office experience or administrative background preferred, especially in customer service or reception roles
- Familiarity with multi-line phone systems and office management
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent phone etiquette and communication skills to provide outstanding customer support
