Learningtech.org [The Miller Institute for Learning with Technology] is a 501(c)(3) nonprofit corporation that helps people use technology more effectively for learning. We help schools and libraries apply for government funding, assist with technology planning, support their information technology, and provide technology-related professional learning and research in computer science education and high-tech making. We have an opening for a part-time contributor who works virtually. Local candidates may have occasional opportunities to meet with the Executive Director in person, though this is not required.
Scope: This position supports Learningtech.org with:
• Primarily Accounting: provide full accounting functions, including transaction entry,
reconciliations, closing month-end and year-end, P/L, Balance Sheet, Budget vs. Actual,
and 990 preparation
• Accounts Payable and Accounts Receivable
• Payroll: prepare and submit the bi-weekly payroll (after management verification),
including PTO validation. This involves collaborating with:
o Existing payroll service provider (ADP)
o Existing Simple IRA fund (American Century Investments)
• Insurance: coordinating and maintaining the required minimums for organizational insurance • Compliance: maintain organization’s local, state, and federal government registrations (e.g., dba, Workers’ Compensation, SAM.gov, and tax reporting), including coordination with our Registered Agent in various states (INCORP)
• Assist other departments as available or needed, as further described below.
Duties
• Work an average of twenty to thirty (20-30) hours per week
• Enter all financial transactions into QuickBooks Online (income, expense, payroll, etc.)
• Prepare invoices (some monthly, some yearly, based on the contract terms per client) and follow up with clients for dunning as needed
• Prepare bi-weekly payroll
• Prepare monthly reconciliations of balance sheet accounts
• Prepare monthly financial statements, including budget-to-actual variance reports
• Work with management to create an annual budget and forecast, and update them
throughout the year as needed
• Prepare and update cash flow projections
• Ensure timely preparation and submission of IRS Form 990 and other related tax reports
• Maintain business licenses in various states
• File annual reports with each state that requires them
• File quarterly payroll reports with each state that requires them
. Maintain workers' comp insurance policies in each state where we employ workers
• Prepare an annual workers' compensation summary
• Working with the E-Rate department:
o Collect data regarding vendors who submit proposals for our clients
o Monitor email groups for clients who receive vendors' proposals
o Routine errands and research.
Minimum Qualifications
• Eligible to Work in the United States of America
• Education: B.S. or B.A. (with a high GPA) or equivalent
• At least 3-4 years of experience with bookkeeping and accounting (A/P, A/R, payroll)
• Experience with corporate insurance and governmental agency registrations, such as SAM .gov
• Speak and write English fluently, including excellent grammar and clear pronunciation
• Ability to work independently (with own computer,
1 software and internet access) and function in both formal and informal settings; work remotely with flexible hours
• Ability to participate according to CA time zone, regardless of actual location
• Ability to work cooperatively on a team, including via telepresence
• Ability to function effectively under deadline stress with low absenteeism
• Essential computer skills
o QuickBooks Online
o Microsoft Office (Word, Excel)
o Email, Web, etc.
• Three (3) responsive professional references
• Department of Justice and Federal Bureau of Investigation background checks are required every few years, due to involvement with K-12 schools (at our cost)
• Other essential attributes: intelligent, eager to learn, resourceful, tenacious, willing to ask questions when unsure, well-organized, efficient, self-motivated, courteous, customer-service oriented, able to balance priorities, multitask, work on cross-functional teams, strong collaboration skills, lifelong learner, and passion for making the world a better place.
Helpful Additional Qualifications
• More extensive experience in areas noted above
• Higher education coursework is highly desirable
• Facility with both Windows and Macintosh is ideal
• Fluency in written and spoken Spanish
• Computer science or other technical skills
• Resident of CA (first preference), CO, MO, NY, VA
• Local proximity to San Carlos, CA 94070 (helpful, but not required)
• Knowledge about the federal E-Rate program (helpful, but not required).

Compensation
• Starting compensation is targeted at approximately $30-$34 per hour
• The offer will take into account education, credentials, work experience, recent employment, and compensation history (if provided), as well as the nonprofit nature of Learningtech.org
• Daily posting of hours to our timesheet system is required for payroll
• Payroll is issued on alternate Fridays for work done through the previous Friday.
