The Wedding Coordinator is responsible for overseeing the planning, coordination, and execution of weddings to ensure each event runs smoothly and reflects the couple’s vision. This role serves as the primary point of contact for couples, vendors, and venue staff, managing all logistics, timelines, and on-site coordination from planning through the wedding day.
Key Responsibilities:
Client & Planning Coordination
- Serve as the primary point of contact for couples during the final month leading up to the wedding and through the wedding day
- Lead final walkthrough meetings to review and confirm all event details, timelines, vendor logistics, and expectations
- Facilitate wedding rehearsals, providing clear direction and a comprehensive rundown of ceremony flow and responsibilities
- Review and manage event details including timelines, floor plans, vendor lists, and special requests
Vendor Management
- Communicate with and coordinate vendors prior to and on the wedding day
- Confirm vendor arrival times, setup requirements, and breakdown logistics
- Ensure vendors adhere to venue policies, timelines, and event expectations
Event-Day Execution
- Oversee and complete ceremony and reception setup and transitions
- Manage and execute the wedding day timeline, cueing key moments
- Direct wedding party members, family, vendors, and staff as needed
- Troubleshoot issues calmly and discreetly to ensure a seamless guest experience
- Oversee post-event breakdown and venue reset, confirm all items are accounted for, and complete any required post-event documentation or follow-up reporting.
Administrative Responsibilities
- Prepare and distribute final event documents including timelines and layouts
- Track completion of final details and required information prior to the event
- Ensure all pre-event requirements are finalized before the wedding day
Qualifications
- Prior experience in wedding or event coordination preferred
- Strong organizational and multitasking skills
- Excellent communication and client service abilities
- Ability to remain calm and professional in a fast-paced environment
- Availability to work evenings, weekends, and holidays
- Ability to be on feet for extended periods and lift up to 50 pounds

Schedule & Compensation
- Schedule varies based on event calendar
- Compensation: $20-$22/hour, plus a coordination bonus paid per wedding in addition to hourly compensation
