Job Duties And Responsibilities
Event & Programming Support
- Staff the Club Building on Fridays and Saturdays, with hours flexing to fit event schedules.
- Support large-scale community events, coordinating logistics, volunteers, and vendors. Assist with the setup, hosting, and teardown.
- Oversee smaller-scale Club Building events – including, but not limited to, planning, setup, hosting, and teardown.
- Oversee Club Building and facility reservations, including approvals in collaboration with the Club Committee, payments, and scheduling.
- Conduct pre-reservation walkthroughs with residents and provide audiovisual system training.
- Process related deposits and maintain accurate accounting records.
- Oversee access scheduling and building security for private and community events.
- Serve as a responsive point of contact for residents, answering emails, concern forms, and phone calls promptly.
- Assist with email newsletter proofing and content creation, provide event photos, and update website content, including amenities and community photos.
- Coordinate with field teams and District management to resolve landscaping, facility, and operational inquiries.
- Provide Saturday coverage to assist residents and reduce the following week’s backlog.
- From the Denver office, assist with administrative and operational tasks for Inspiration and other managed special districts.
- Process reimbursements, check requests, and purchasing documentation.
- Support newsletter content, event promotion, and website updates across multiple districts.
- Perform light office administrative tasks such as filing, data entry, and call handling.
- Assist with light bookkeeping and one-off projects as needed.
- Attend Club Committee and Social Planning meetings when needed.
- Assist with follow-up actions and help implement committee initiatives.
- Provide reliable backup during staff absences to maintain continuity in service and events.
- Strong interpersonal, organizational, and multitasking abilities.
- Exceptional written and verbal communication skills.
- Proficiency with Microsoft Office and cloud-based collaboration tools.
- Experience in administration, bookkeeping, or communications preferred.
- Ability to balance multiple workloads between onsite and office environments.
- Must have reliable transportation to conduct site visits
- Must be able to drive in the dark if required
- Must have and maintain a valid driver’s license, vehicle insurance, and driving record in compliance with Company policy
- Use standard office equipment, including: computer, phone, copier/scanner, etc.
- Be stationary or in motion for periods of time
