Human Resources Coordinator
Location: Magic Castle | Hollywood, CA
Employment Type: Full-Time, On-Site
Schedule: Monday through Friday, 12pm–8pm

Position Overview
The HR Coordinator supports the day-to-day execution of Human Resources operations at the Magic Castle. This on-site role is responsible for coordinating workflows, maintaining accurate documentation, and supporting employees across the HR lifecycle, including onboarding, recruiting support, compliance tracking, and employee experience initiatives.
This role emphasizes organization, consistency, and timely execution. The HR Coordinator ensures HR processes are completed accurately, documentation is audit-ready, and deadlines are met. This position operates under the direction of HR leadership and exercises independent judgment in prioritizing tasks and managing workflows, while ensuring employee matters and compliance-related items are appropriately escalated.
Key Responsibilities
Employee Support & HR Intake
- Serve as the first point of contact for employee HR questions and manage the HR inbox
- Respond to routine inquiries and determine appropriate next steps, including escalation as needed
- Intake and document employee concerns, ensuring proper tracking and escalation
- Support employee communications and a consistent on-site HR experience
Onboarding, Offboarding & Documentation
- Coordinate onboarding, including document collection, verification, and tracking completion
- Send, track, and maintain employee documents and acknowledgments
- Maintain accurate, organized, and audit-ready employee files
- Support offboarding processes and coordinate final paycheck logistics as directed
Recruiting Support
- Post job openings, coordinate interviews, and manage candidate communications
- Track applicant status and maintain accurate recruiting records
Compliance, Leave & Training
- Distribute and track required employment documents, notices, and acknowledgments
- Track and follow up on required trainings and certifications
- Support leave administration by distributing paperwork and tracking documentation and deadlines
- Maintain compliance, leave, and training trackers, proactively following up on outstanding items and escalating risks as needed
- Support workers’ compensation documentation tracking
- Maintain and update on-site compliance postings and labor law boards as directed by HR leadership
HRIS & Employee Data
- Maintain and update employee data within HR systems
- Ensure data accuracy and proper documentation of employee status changes
- Support employee self-service and basic system troubleshooting
Employee Experience & Engagement
- Coordinate and execute employee engagement initiatives, events, and recognition programs
- Manage ordering and distribution of employee-related materials and communications
Reporting & Administrative Support
- Maintain HR trackers and ensure deadlines are met through proactive follow-up
- Prioritize and manage multiple workflows, identifying gaps and escalating as needed
- Generate reports and support cross-functional HR coordination
Additional Responsibilities
- Support special projects and ad hoc HR initiatives as assigned
- Adapt to shifting priorities in a fast-paced environment
- Take initiative in identifying gaps and ensuring follow-through on outstanding items
- Execute responsibilities under the direction of HR leadership while using judgment to prioritize and manage workload
Qualifications
- 3 years of experience in an HR administrative or coordinator role
- Bilingual in English and Spanish required
- Experience supporting onboarding, documentation, and HR systems
- Strong organizational skills with attention to detail and follow-through
- Ability to manage multiple priorities and meet deadlines
- Professional communication skills and discretion with sensitive information
- California employment experience preferred
- Experience with HRIS platforms (e.g., Rippling, Toast, AbsenceSoft, Mineral ) preferred
- Exposure to compliance, leave administration, or training coordination preferred
