Job Description

ILU is seeking an experienced and talented leader with a deep commitment to immigrant rights to join our team as a Program Coordinator. The Program Coordinator will report to the ILU Data & Program Manager and will be primarily responsible for coordinating intakes and referrals across ILU and assisting with data collection and grant reporting.

The Immigration Law Unit of The Legal Aid Society is a recognized leader in the delivery of legal services to immigrants in all five boroughs of New York City and surrounding counties within the New York District of the USCIS. The Unit provides low-income New Yorkers with free comprehensive immigration services ranging from deportation defense to adjustment of status to legal permanent residence and citizenship applications. The Unit specializes in the intersection between immigration and criminal law and works collaboratively with all practice areas to serve the society's diverse immigrant clients through a comprehensive service model. Unit staff represent immigrants before USCIS, immigration judges in removal proceedings, and the Board of Immigration Appeals, as well as in federal court on habeas corpus petitions, petitions for review, administrative and judicial appeals, and other matters.

ESSENTIAL DUTIES/RESPONSIBILITIES

Data collection and maintenance

  • Ensure accountability and maintenance of practice standards
  • Help implement best practices for data collection and reporting, in coordination with the Civil Grants and Contracts Team
  • Work with ILU and other Civil Practice administrative staff to ensure that ILU case matters are timely updated with data required for grants management
  • Responsible for overall quality assurance in the case management system

Referrals and Intake Coordination

  • Coordinate and support ILU intake and referral processes by organizing client information, tracking intake/referral outcomes, maintaining communication across staff for client screening and data collection purposes, and helping implement procedures aligned with grant compliance and best practices
  • Be knowledgeable regarding immigration relief applications covered by funding sources and keep up-to-date regarding new immigration relief options that may become available to non-citizens in New York City
  • Following-up with and/or interviewing clients to obtain information needed to properly enter and/or update cases, or assess additional service needs as needed

Administrative

  • Assist with administrative tasks and coordination related to Immigration Law Unit legal clinics and outreach activities
  • Assist with program development, implementation, and reporting
  • Help staff and volunteers implement best practices for maintaining communication with clients. This includes developing template letters and checklists for clients to aid in case preparation
  • Work with case handlers to upload all documents needed for programmatic audits in the case management system

Professional Development and Other Duties as Assigned

  • Other duties as assigned

QUALIFICATIONS

Required qualifications:

  • Bachelor's degree or an equivalent combination of 4 years of post-secondary education and/or work experience
  • Excellent computer skills including Office 365 and all Microsoft Office programs, especially Microsoft Excel (pivot tables, etc.), and demonstrated ability to work with databases
  • Previous administrative experience

Preferred qualifications:

  • Proficiency in Spanish preferred

  • Knowledge of basic immigration application forms and forms of relief
  • Excellent organizational skills
  • Experience in and/or commitment to advocacy on behalf of low-income immigrants is strongly desired
  • Experience working in a fast-paced environment
  • Ability to work in a team setting including strong communication and follow-up skills
  • Ability to manage relationships and effectively communicate with Office management team; case handlers; and Civil G&C team
  • Demonstrated ability to accurately and quickly gather data, compile information, and keep accurate records
  • Highly self-motivated and able to work independently
  • Excellent judgement, including ability to handle sensitive or confidential information
  • Ability to multitask

Physical, environment, travel, and other duties required:

  • Mostly sedentary, significant time using a computer and monitor; communicating and meeting using video
  • May or will require travel within NYC, across the five-borough region

* For positions noted as essential, this will require either remote or in-person work during times of closure or otherwise non-typical business hours which may include evenings and weekends and during unforeseen events such as inclement weather or poor air quality conditions.

SALARY AND BENEFITS

The salary range represents a good faith estimate of the range we expect to pay for this role. The actual salary offered may vary depending on many factors, including but not limited to job-related knowledge, skills, and experience, as well as collectively bargained salary steps for unionized roles.

Salary Range: $72,000- $77,000
