Role Overview
WTC Delaware is adding a part-time Executive Administrative Assistant to support its small staff through a period of organizational growth. This is a hands-on, professional, in-person role that requires someone who can manage a wide range of administrative functions — from fast-paced clerical tasks to communications with senior government officials — with equal parts professionalism and resourcefulness. This is a very fast-paced, multi-tasking, ever-changing environment where the ability to pivot and re-prioritize quickly is essential for success.
Duties and Responsibilities
Administrative & Office Support
- Provide general administrative and clerical support to WTC Delaware staff, including filing, document preparation, and office organization; professional business attire required on event days
- Perform data entry and maintain accuracy of organizational records
- Handle printing, copying, mailing, and related document production tasks
- Conduct all business and handle all information with the utmost discretion and commitment to preserve confidentiality and security
- Maintain organized filing systems for physical and digital records
- Support ad hoc administrative projects, organizational priorities, and other duties as assigned
Communications & Correspondence
- Answer and route incoming phone calls; take messages and follow up as directed
- Draft, proofread, and send routine correspondence on behalf of WTC Delaware staff
- Communicate professionally with government officials, elected representatives, business leaders, and diplomatic contacts at the direction of WTC Delaware leadership
Scheduling, Travel & Events
- Manage scheduling, bookings, and calendar coordination for meetings and events, including airline tickets, hotel reservations, catering, meals, and other travel and event-related planning
- Support event planning and logistics coordination, including vendor communication, attendee tracking, and materials preparation
- Staff events on-site as needed for setup, check-in, coordination, and breakdown (occasional evenings required; advance notice will be provided)
Digital & Technology
- Perform basic website content updates (no coding required; CMS-based)
- Post approved content to WTC Delaware social media channels (Facebook and LinkedIn) following provided copy and brand guidelines
- Provide basic computer support for team members (desktop/laptop, mobile devices, and Microsoft Office on PC and Mac)
Field & Physical Duties
- Run local errands as needed, including supply pickup, courier deliveries, and other time-sensitive tasks (reliable personal vehicle required)
Qualifications
Education & Experience
- High school diploma or equivalent; associate’s degree or college coursework preferred
- Minimum 2 years of administrative or office support experience
Technology & Computer Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) on Mac or PC
- Comfortable using or learning social media management tools (Facebook, LinkedIn)
- Comfortable using or learning basic CMS platforms for website content updates
- Comfortable with Apple macOS and iOS devices (Mac, iPhone, iPad); able to handle basic day-to-day tech questions and knows when and how to escalate when something is beyond their scope
Communication & Professionalism
- Demonstrated ability to write professional communications, including emails and correspondence on behalf of an organization
- Professional demeanor and discretion when handling sensitive information or communicating with high-profile contacts
Organization & Work Style
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and shifting priorities without losing track of deliverables
- Availability for occasional evening events (advance scheduling provided)
Physical & Transportation
- Reliable personal vehicle and valid driver’s license (local errands are a regular part of this role)
- Ability to perform the physical duties of this role, including occasionally lifting up to 30 lbs
Preferred:
- Experience supporting a nonprofit, trade association, government-adjacent organization, or executive team
- Familiarity with international business, trade, or diplomatic protocol
- Experience with event logistics or coordination
- Social media content posting experience in a professional or organizational context
Work Environment
This is a four day per week, in-person role based at WTC Delaware’s office in New Castle, Delaware, with occasional visits to the Newark, DE office as needed. The position is Monday through Thursday, 24 hours per week, from 10am to 4pm with a paid 30-minute lunch. Occasional on-site event staffing may require flexibility for evening hours; these dates are communicated well in advance.
This is a physically active administrative role — some days will involve errands, materials transport, event setup, and tasks beyond desk work. Candidates should be comfortable with that range.
This is a part-time W-2 position. Benefits are not included at this time.
