We are seeking a detail-oriented and organized Real Estate Closing Coordinator and Legal Assistant to join our small office law firm specializing in residential real estate transactions. In this hybrid role, you will primarily support one attorney in managing the closing process for residential and some commercial property deals. You will also have ancillary responsibilities involving administrative and legal. The ideal candidate thrives in a fast-paced environment, works well under pressure, is comfortable handling multiple active files at the same time, has knowledge of real estate closing procedures, and excels at multitasking to facilitate smooth closings from contract to disbursement.
Key Responsibilities
- Coordinate all aspects of real estate closings, including reviewing purchase agreements, title searches, and escrow instructions.
- Prepare and review closing documents such as deeds, affidavits, settlement statements, title policies, and mortgage-related paperwork.
- Coordinate with title companies, lenders, real estate agents, buyers, sellers, and parties to schedule closings and resolve issues.
- Conduct due diligence, including verifying property taxes, liens, and zoning compliance; ensure all documents are recorded with county offices.
- Manage closing calendars, track deadlines, and maintain electronic and physical files for transactions.
- Handle fund disbursements, wire transfers, and reconcile closing statements for accuracy.
- Provide general legal assistant support, including scheduling meetings, and billing/client communication.
- Perform administrative tasks such as data entry into case management software and maintaining confidentiality of sensitive information.
General Qualifications
- 2 years of experience in real estate closings, title work, or as a legal assistant in a law firm or title company. We are willing to work with and train someone if they are the right candidate.
- In-depth knowledge of real estate closing processes
- Proficiency in real estate software (we currently use E-Closing) and Microsoft Office Suite; familiarity with e-recording systems a plus.
- Excellent organizational skills with attention to detail and ability to handle high-volume workloads under tight deadlines.
- Strong communication skills, both written and verbal, for interacting with clients and professionals.
- Valid notary public commission (or ability to obtain one) required.
