Job Summary
We are seeking an energetic and detail-oriented Reception and Client Intake Coordinator to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and facilitate smooth client intake processes. Responsibilities

  • Greet visitors warmly, ensuring a positive first impression for clients, vendors, and guests.
  • Manage multi-line phone systems with professionalism, providing clear information and directing calls efficiently.
  • Handle client intake procedures accurately, including data entry, appointment scheduling, and maintaining client records.
  • Maintain a well-organized front desk area, including filing, photocopying, and managing incoming/outgoing mail.
  • Support office management tasks such as calendar management, appointment confirmations, and basic bookkeeping using QuickBooks or similar tools.
  • Assist with clerical duties like proofreading documents, updating databases, and managing office supplies inventory.
  • Provide exceptional customer service by addressing inquiries promptly and professionally via phone or in person.

Qualifications

  • Proven experience in front desk operations or office management roles with strong organizational skills.
  • Excellent communication skills with phone etiquette proficiency; bilingual abilities are a plus.
  • Demonstrated computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and data entry skills.
  • Prior clerical or administrative experience with familiarity in filing systems and proofreading documents.
  • Ability to multitask efficiently while managing time effectively in a fast-paced environment.
  • Personal assistant experience or calendar management skills are desirable.
  • Knowledge of bookkeeping software such as QuickBooks is advantageous; familiarity with office equipment like multi-line phones is essential. Pay: $18.00 - $22.00 per hour
