Responsibilities
- Greet visitors warmly, ensuring a positive first impression for clients, vendors, and guests.
- Manage multi-line phone systems with professionalism, providing clear information and directing calls efficiently.
- Handle client intake procedures accurately, including data entry, appointment scheduling, and maintaining client records.
- Maintain a well-organized front desk area, including filing, photocopying, and managing incoming/outgoing mail.
- Support office management tasks such as calendar management, appointment confirmations, and basic bookkeeping using QuickBooks or similar tools.
- Assist with clerical duties like proofreading documents, updating databases, and managing office supplies inventory.
- Provide exceptional customer service by addressing inquiries promptly and professionally via phone or in person.
Qualifications
- Proven experience in front desk operations or office management roles with strong organizational skills.
- Excellent communication skills with phone etiquette proficiency; bilingual abilities are a plus.
- Demonstrated computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and data entry skills.
- Prior clerical or administrative experience with familiarity in filing systems and proofreading documents.
- Ability to multitask efficiently while managing time effectively in a fast-paced environment.
- Personal assistant experience or calendar management skills are desirable.
- Knowledge of bookkeeping software such as QuickBooks is advantageous; familiarity with office equipment like multi-line phones is essential.
