Core Responsibilities
- Client Intake & Reception: Greet incoming clients, manage initial intake procedures, and accurately capture essential contact details (names, telephone numbers, email addresses, and legal addresses)
- Communication Management: Answer telephone inquiries and direct messages efficiently; route routine communications via email and escalate urgent matters by text or phone
- Document Preparation: Draft professional cover letters, proofread legal documents for grammatical accuracy, and format basic templates for attorney or paralegal review and completion
- Litigation & Appellate Support: Assemble brief exhibits, print appeal briefs for signature, and bind formal appellate documents
- File & Document Management: Maintain physical and electronic filing systems, scan and distribute documents digitally, and prepare outgoing mail and legal correspondence
- Specialized Mail Handling: Process specialized legal mail and route scanned copies directly to attorney and paralegal
- Office Operations & Errands: Pick up mail from post offices, handle routine office errands, monitor inventory, and coordinate the restocking of office supplies (e.g., toner, envelopes, maintenance supplies).
- Calendar Management: Maintain the master office calendar, track critical deadlines, and provide timely schedule reminders to attorneys and paralegals
- Accounts Payable Support: Sort incoming correspondence, identify invoices and utility bills, flag for administrative review, accurately enter, track and maintain client payment information for billing records
