General Job Description: Responsible for reviewing and processing new client referrals and account enrollments received from vendors, clients, and internal teams with the highest levels of efficiency and attention to detail. Serves as a liaison for intake and communication-related matters between the law firm, clients, vendors, attorneys, and internal departments. Responsible for reviewing client documentation, verifying eligibility for legal services, and providing updates in the firm’s case management and CRM systems to ensure client intake activity, documentation received, and case status information are accurately recorded.
Role in Mission: The primary person responsible for ensuring accurate intake, review, and processing of litigation referrals and documentation for existing clients, ensuring that all matters are properly documented in the firm’s systems and routed to the appropriate teams for further handling based on eligibility.
Key Specific Duties:
- Receive and review litigation referrals and intake documentation from vendors and clients.
- Review legal documents to ensure they are legible, complete, and contain the necessary information for processing.
- Verify client eligibility for legal services based on firm and contract guidelines.
- Enter and maintain accurate client, creditor, and case information in the firm’s CRM and case management systems.
- Upload and organize all client documents, including contracts, powers of attorney, and litigation notices, within the client’s electronic file.
- Review and process litigation notices, summons, complaints, and related legal documents received at intake.
- Contact vendors, clients, or courts to obtain missing or incomplete documentation when necessary.
- Create and assign workflow tasks in the CRM to ensure matters are routed to the appropriate team members for next steps.
- Monitor intake queues and shared inboxes to ensure referrals and communications are processed within established timelines.
- Coordinate with internal teams when matters require escalation, reassignment, or additional review.
How success is measured:
- Ability to efficiently manage a high volume of litigation referrals and documentation.
- Ability to review legal documents and identify missing or incomplete information.
- Ability to accurately determine eligibility for legal services based on firm guidelines.
- Ability to maintain high levels of data accuracy within the firm’s CRM and client files.
- Ability to stay organized and manage competing priorities in a fast-paced environment.
- Ability to manage shared inboxes and ensure communications are addressed promptly.
- Ability to collaborate effectively with internal teams while maintaining a positive and professional attitude.
Desired Skills:
- Bilingual in English and Spanish is strongly preferred.
- Strong attention to detail and accuracy when reviewing legal documentation and entering data.
- Highly organized with the ability to manage multiple matters and priorities simultaneously.
- Strong time management skills and ability to meet deadlines in a fast-paced environment.
- Ability to multitask, follow up on outstanding items, and track the status of incoming matters.
- Proficiency with Microsoft Office, spreadsheets, and CRM or case management systems.
- Interest in or experience working in a legal, compliance, or professional services environment.
- Experience in the debt settlement or consumer advocacy industry is a plus.
